DESCRIPTION

The Preuss School, located on the East Campus - east of Interstate 5 of the University of California, San Diego (UCSD) in La Jolla, California, is a charter middle and high school dedicated to providing a rigorous college prep education for motivated low-income students who will become the first in their families to graduate from college. As part of UCSD, a major research institution, The Preuss School also serves as a model school to study and develop best practices in the preparation of low-income, urban students for college admission to be disseminated to improve public education.

Under general direction, the incumbent oversees all aspects of the school's student absence and attendance data. Working closely with teachers, verify, review and update attendance data into Preuss Student Information System (SIS) for accuracy to meet annual District and State audits. Remain current in San Diego Unified School District and California Department of Education attendance and transportation policies and reporting requirements. Communicate to parents to verify absences, issue and record early leave permits and tardy passes, document all verified absences, late arrivals, and early departures. Maintain attendance documentation records to support Average Daily Attendance (ADA) claimed by the school; accuracy is critical as per-student funding drives the largest portion of the school's revenue. Submit Monthly Attendance Summaries to San Diego Unified School District (SDUSD) Pupil Accounting to determine funding allocation to The Preuss School.

Oversee all aspects of the school's transportation operational need. Coordinate, schedule and establish up to 4 school bus routes with San Diego Unified School District (SDUSD) to serve middle school scholars during the school year and Summer School, implement new routes needed and eliminate unnecessary ones. Review, input, and maintain student geographic data into SIS to ensure appropriate bus assignments for students. Create and distribute bus rosters to drivers, parents, and students ensuring all involved are informed of the assigned bus and drop-off location/s for various routes. Coordinate District's Z Pass system to track students entering and exiting school buses, ensuring all students are tracked for arrival to and departure from school. Provide feedback to the district regarding bus services and assignments. Serve as a mediator between home/school when driver conflicts arise.

  • Must be able to work overtime as needed.

QUALIFICATIONS

  • Proven experience providing administrative support and managing general office needs.

  • Experience independently researching, compiling, organizing, interpreting, and selecting data/materials from various sources.

  • Advanced-level skills in using word-processing, spreadsheet, e-mail, and presentation applications such as those in MS Office (Word, Excel, Outlook, Publishing, PowerPoint).

  • Excellent communication and interpersonal skills including courtesy, professionalism and cooperative attitude. Demonstrated experience in communicating effectively with tact, good judgment, and confidentiality to a broad range of people, including diverse individuals, groups, and/or an organization.

  • Proven ability to multitask, prioritize workload, meet a variety of deadlines with frequent interruptions/changing priorities. Demonstrated ability to follow oral and written instructions with little or no supervision. Strong organizational skills with attention to detail and accuracy.

  • Analytical ability to assess problems/procedures, identify and communicate issues, evaluate options, consider consequences and recommend solutions.

  • Demonstrated knowledge of records management practice, design and implement an effective filing system that promotes quick retrieval, archiving and purging records.

  • Ability to use tact, judgment, and skill in responding to questions or problems related to attendance or transportation of students.

  • Ability to establish and maintain cooperative and supportive relationships with parents, students, teachers, staff, and visitors.

  • Ability to maintain high levels of confidentiality, handling sensitive matters and persons from diverse backgrounds

  • Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary.

  • Ability to work both independently and as part of a team.

  • Experience with general office equipment, including computers and related software applications.

  • Spanish Bilingual preferred.

SPECIAL CONDITIONS

  • FBI/DOJ Live Scan background check required.

  • Tuberculosis (TB) screening required.

  • Duties will require direct contact with children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) form is required.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
