SECRETARY - ATTENDANCE Department: Instruction Bargaining Unit: Grand Rapids Association Education Office Personnel (GRAEOP) Hourly Rate:$18.02/hour JOB SUMMARY The Attendance/Second Secretary is responsible for reporting attendance information to the building staff.

The secretary will also work with students, parents, staff and other appropriate groups regarding attendance concerns. Regular on time and in person attendance is an essential function of this job. Other essential functions may include, but are not limited to the following: Responsible for answering the phone and documenting attendance calls.

Daily SRC and suspension excel lists, responsible for student ID cards Assist parents, students, and staff. Provide attendance reports to building staff daily. Provide students and staff with information as needed.

Make attendance calls to parents and follow up as needed. Work with Family Support Specialists and/or appropriate agencies, where appropriate Compile reports on student information, as requested. Assist counselor with student records and transcripts.

Maintain the computerized student information system, including attendance, enrollment, and other information. Responsible for assisting in the main office operation when necessary. Work with staff on attendance problems and corrections.

Interact with co-workers, administration, students, and parents in positive, supportive and cooperative ways. Perform other duties as assigned. QUALIFICATIONS Education and Experience:

High School Diploma or equivalent, required. One year of successful secretarial experience. Special Qualification:

Passing score on the required secretarial test. Knowledge, Skills and Abilities: Demonstrated aptitude for detail work, record keeping and filing.

Demonstrated excellent communication skills, both written and verbal. Demonstrated experience working with computers. Working knowledge of Windows based programs (word processing & spreadsheets), required.

Demonstrated good organizational skills, including filing and records maintenance. Demonstrated ability to manage multiple tasks simultaneously and work under pressure. Demonstrated ability to make decisions independently.

Demonstrated respect for confidentiality. Demonstrated good attendance and punctuality. Demonstrated ability to work as a team member.

Demonstrated ability to work in a multi-cultural environment. PHYSICAL DEMANDS The work is medium work which requires exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk, hear (in a quiet or noisy environment). Specific vision abilities required by this job include close vision, distance vision and ability to adjust/focus. WORK ENVIRONMENT The noise level in the work environment is usually loud to moderate.

MENTAL FUNCTIONS While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile, and negotiate.
