TITLE: Clerk II
QUALIFICATIONS: High School diploma or GED, 1-2 years clerical/filing in a school
environment, secretarial and computer skills (i.e., keyboarding, faxing,
copiers, 10-key, handle school correspondence, records, forms and
reports, receive, sort and distribute mail excel and word, effective
communication and interpersonal skills
REPORTS TO: Campus Principal
JOB GOAL: To assist in the efficiency of the day-to-day operations of the campus
DUTY DAYS: 226 days
PAY GRADE: Clerk Salary Scale
FLSA: Non-Exempt
PERFORMANCE RESPONSIBILITIES:
Answer the school phones promptly, take detailed messages as necessary and direct calls
Effectively communicate with parents and staff on school matters
Maintain a friendly attitude with parents and staff
Receive calls and visitors to the school office, answer questions and refer to the appropriate school staff
Perform receptionist, secretarial and administrative support duties for the assigned staff members
Write and distribute student and staff bulletins
Responsible for incoming, outgoing, and interoffice mail, notices, memos, directives, etc.
Assists in keeping school attendance records, and record reasons for absences
Issue slips and passes to students as appropriate
Assists in maintaining the scheduled use of school facilities
Assists in keeping the school calendar
Assists in ensuring safety of students
Notify Maintenance Department of necessary repairs
Establish and maintain school recordkeeping and filing systems
Contact students and parents and make appointments
Assists in maintaining school accounting records, including substitute teacher and classified employee time cards
Assists in maintaining student records and processing enrollments and transfers
Adheres to requirements for confidentiality regarding student records; discreetly handle
information pertaining to staff, parents, and students that could be considered to be of a
sensitive nature
Attends all mandatory meetings and training programs
Participates in professional growth activities when requested
Assists in orientation of new teachers or substitute teachers to school procedures
Assemble and distribute various testing materials and information
Receive students sent to school office and process appropriately
Collect monies, issue receipts, prepare deposits for the District Business Office
Receive and distribute mail to the appropriate people
Operate a variety of office equipment including a computer, input and retrieve data and
text, organize and maintain disc storage and filing
and basic report preparation
Assists in Organizing office work flow to meet deadlines
Train and supervise others in school office staff functions
Learn pertinent policies and procedures for the district and apply them with good
Judgment
as necessary to assume assigned responsibilities
