The City of Harrisburg is seeking qualified applicants to fill the position of Atrium Receptionist. This position performs position responsible for performing routine clerical work of moderate complexity and variety as the greeter and information point of contact for the City Government Center.

The position requires knowledge of social media and the ability to maintain databases, update websites and organize online information.

Experience in organizing and maintaining 311 systems is essential. Assignments are stable in nature and performed in accordance with instructions and established policies and procedures. Work is performed under the general supervision of the Communications Manager; however, the individual in this position is expected to exercise independent and sound judgment as circumstances warrant.

COMPENSATION & BENEFITS

The City of Harrisburg offers a salary of $42,799.83. This full time FLSA position also includes an excellent benefits package: defined pension plan, paid holidays, paid time off (vacation, sick and personal time) and health care benefits (medical, dental, prescription and vision).

Atrium Receptionist

General Government - Bureau of Communications

DEFINITION

This is an entry level clerical position responsible for performing routine clerical work of moderate complexity and variety as the greeter and information point of contact for the City Government Center.

The position requires knowledge of social media and the ability to maintain databases, update websites and organize online information.

Experience in organizing and maintaining 311 systems is essential. Assignments are stable in nature and performed in accordance with instructions and established policies and procedures. Work is performed under the general supervision of the Communications Manager; however, the individual in this position is expected to exercise independent and sound judgment as circumstances warrant.

EQUIPMENT/JOB LOCATION

Work is performed primarily in the Atrium of the Rev. Dr. Martin Luther King, Jr.

City Government Center. Equipment used: computer, camera, telephone, copier, calculator and fax machine. Duties are typically performed on weekdays from 7:30 a.m. to 4:00 p.m.; however, employees may be required to work evenings, weekends, and holidays.

ESSENTIAL FUNCTIONS

Work involves, but is not limited, to the following: Greets all visitors to the City Government Center in a professional and cordial manner.

Directs visitors to appropriate offices/locations. Inputs data and assists with implementation of the 311 System. Adds photos and other information to social media and web sites, under the direction of Communications Manager.

Provides resource information regarding City services and contact points for services provided by county, state, federal and other agencies. Receives and responds to telephone and face-to-face inquiries and routes those of a more complex nature to proper authorities for appropriate action. Receives and documents citizen concerns/complaints, records and tracks them in the 311 system and follows up with appropriate departments.

Provides weekly reports of patterns of citizen concerns/complaints. Sorts and files documents, as required. Maintains a neat and orderly environment for visitors in the Atrium waiting areas.

Maintains emergency contacts with Police Bureau and Communications Manager. Assists in coordinating events and with photography for events in the Atrium.

NON-ESSENTIAL FUNCTIONS

Performs other reasonably related duties in equal or lower classifications as assigned by supervisory personnel. Performs work as directed by supervisors in accordance with Article XXIX, Job Classifications, Section 1 provision of the Basic Labor Agreement.

REQUIRED KNOWLEDGE AND ABILITIES

  • Thorough knowledge of office practices and procedures.

  • Ability to proficiently operate a variety of office machines.

  • Ability to understand and follow instructions.

  • Ability to learn departmental functions and organizational structures.

  • Ability to establish and maintain effective working relationships with other employees and the general public.

  • Strong interpersonal and conflict resolutions skills.

  • Strong written and verbal communication skills and effective listening skills.

  • Proficient in Microsoft Office Suite.

  • Proficient in the use of Social Media.

QUALIFICATIONS

High school diploma or equivalent. One year of experience performing clerical work and a working knowledge of 311 systems. Or any acceptable equivalent combination of training and experience which provides the required knowledge, skills and abilities.
