General Function:

Provides administrative services to the Athletic Director, and the Motlow State Athletics Department. Performs complex administrative duties in support of athletics compliance activities, student athlete support functions, gameday operations, team operations, and athletic facility operations

Minimum Qualifications:

Associates degree earned from a regionally accredited institution and three years of administrative experience in an educational or business setting. Additional professional experience may be substituted for the required education on a year for year basis up to two years.

Preferred Qualifications:

Bachelor's degree or higher earned from an accredited institution and two years administrative experience in a higher education, athletics, accounting or business setting. Experience with travel planning and reimbursement. Experience or knowledge of NJCAA/NCAA compliance. Experience maintaining multiple budgets.

Major Duties and Responsibilities:

  • Provides administrative support for Athletic Director, coaches, and assistant coaches including maintaining game day operations and staff, ordering of needed equipment, facilitating any needed repairs from outside vendors, calendar assistance, scheduling, arranging logistics, and coordinating travel to meetings, seminars, conferences or events, creation and maintenance of academic, personnel, financial, and statistical records. Plan, develop, revise, and implement policies and procedures related to intercollegiate athletics.

  • Implement and monitor internal controls to ensure compliance with NJCAA, TCCAA, and Motlow State athletics rules and regulations. Provide education for coaches, staff, and student athletes on compliance matters. Abides by TCJAA and NJCAA Bylaws regarding ethical conduct and the responsibility to positively contribute to a campus culture of NJCAA rules compliance.

  • Manage the operation of athletic facilities and/or designated team sports, including team travel, scheduling, practice facilities, security, equipment, and special events, meetings, and receptions. Assists with the management of game day operations, event operations, and ticketing. Some home athletic games and special events are scheduled outside of normal business hours and will require on-site activities to support operations.

  • Oversees multiple athletics budgets to include allocations, travel, disbursements, purchasing, verification, account reconciliation, financial reports, and communication with faculty, staff, and administration.

  • Manage advising, tutorial and career/life skills development programs to meet the needs of student athletes. Serve as a liaison with appropriate advisors and administrators in colleges and departments. Serve as a liaison with Student Services departments to provide for the needs of student athletes for housing, dining services, registrations, student activities, counseling, etc.

  • Monitor academic progress and status of student athletes to determine eligibility for competition, and progress to fulfill requirements for graduation. Serve as a liaison with the Office of Financial Aid to determine eligibility and administer scholarships and other financial aid for student athletes.

  • Prepare proposals, reports, analyses, evaluations, and presentations on intercollegiate athletics programs and strategies. Prepare speeches and presentations for public appearances by the Athletic Director, Head Coaches, or other athletics staff.

  • Process athletic injury claims, including coordination with care providers and insurance companies, and systematic recording of same.

  • Other duties as assigned

Knowledge, Skills and Abilities:

  • Maintains knowledge of NJCAA, TBR, TCCAA conference rules, TBR policy, college policy, state and federal law, including but not limited to Title IX.

  • Knowledge of confidentiality statutes and policies including but not limited to FERPA as they apply to students, faculty, and staff

  • Ability to communicate effectively, both in writing and verbally, with college officials, fellow employees, students, and stakeholder's on matters pertinent to the Athletics Program

  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community

  • Ability to establish and maintain effective positive working relationships with students, faculty, staff, community partners and other stakeholders

  • Ability to contribute to enhancement of the campus community, develop and maintain a culture of compliance, excellence, and belonging in the Athletics Program

  • Knowledge and broad understanding of standard accounting procedures including budgets, estimates, price quotes, purchasing, and account reconciliation.

  • Knowledge of event planning, travel arrangement and reimbursement in compliance with state and higher education regulations.

  • Ability to work independently and manage time and resources efficiently and effectively.

  • Strong computer skills to include database management, word processing, spreadsheets, and email.

  • Ability to work independently with minimal supervision and accept direction for multiple and diverse staff members.

  • Ability to organize, prioritize and expedite workload, working under occasional time pressure.

  • Ability to occasionally handle differing, non-routine work situations and problems by exercising independent judgement and initiative.
