LOCATION: Pike Road School District REPORTS TO: Principal and Superintendent SUPERVISES: Classified and certified Athletic Department personnel as designated FLSA STATUS: Exempt TERMS: 240-day Certified Teacher salary plus Central Office Coordinator supplement.

JOB GOAL:

  • To oversee a comprehensive athletic program that promotes academic achievement and provides all secondary students an opportunity to participate in an extracurricular athletic activity that will foster physical skills, a sense of worth and competence, a knowledge and understanding of the pleasures of sport, and the principles of fair play using the safest and most effective coaching and training methods.

QUALIFICATIONS:

  • Master's degree in educational administration/instructional leadership or related field

  • Valid Alabama administrator certificate, preferred

  • A minimum of five (5) years of successful coaching or athletic director experience at the university or high school level

  • Demonstrated success in the administration or management of athletic programs

  • Experience managing and overseeing budgeting processes

  • Knowledge of the Alabama High School Athletic Association rules/procedures/policies, local Board policies, and state and federal laws about athletics and athletes.

  • Ability to meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457

  • Valid driver's license and ability to be insured by the school system to drive a vehicle

  • Ability and willingness to obtain a CDL and school bus endorsement

  • Keen understanding of the proper development of young athletes to include the mental and physical growth and progression applicable to the athletes' pathway

  • Demonstrated proficiency in oral and written communication skills

  • Effective communication skills and working knowledge of modern social media platforms to promote all Pike Road extracurricular programs

  • Demonstrated proficient leadership skills

  • Ability to plan, organize, delegate, collaborate, and supervise athletic programs

  • Ability to motivate student-athletes and coaches

  • Ability to evaluate the performance of coaches and athletic programs to gauge their effectiveness and to provide insights and feedback for improvement

PERFORMANCE RESPONSIBILITIES:

Athletic Program Administration and Leadership.

  • Prioritizes the safety and well-being of all athletic program participants.

  • Collaborates with PRS administration to develop and administer athletic programs in alignment with PRS's mission and overall athletics program goals.

  • Maintains and submits reports, records, and correspondence in a timely and accurate manner in accordance with policy, regulation, law, and good practice.

  • Responds to inquiries and concerns in a timely and professional manner.

  • Implements board policies and advises the administration on legal matters related to athletics.

  • Assesses long-term and short-term department needs through consultation with coaches, students, staff, and parents and develops policy recommendations for the Board's consideration and action.

  • Evaluates extra-curricular athletic programs annually, engaging in long-range planning to ensure program success and development.

  • Coordinates administrative tasks, including approving, scheduling, and communicating all athletic activities, setting pre-season practice dates, managing event calendars, coordinating National Signing Day, overseeing youth summer camps, and issuing timely announcements.

  • Promotes positive school-community relations by ensuring effective communication with the PRS community through various media channels and holding coaches accountable for communicating with athletes, parents, school administration, and the community.

  • Ensures compliance with AHSAA rules for athlete and coaching eligibility, residency verification, and safety plans.

Athletic Administration and Oversight.

  • Determines student athletes' eligibility and ensures completion of necessary forms, reports, and records, including but not limited to residency, insurance, and health physicals.

  • Ensures fair and impartial treatment of all student-athletes and promotes gender equity in sports programs.

  • Collaborates with coaches to develop and maintain promotional materials and ensure adherence to PRS Brand standards.

  • Manages the PRS athletics website to provide up-to-date information and communication.

  • Coordinates yearly tryout calendars and schedules facility usage to optimize athletic activities.

  • Collaborates with head coaches to plan athletic trips and facilitates board approval as required.

  • Manages all logistical aspects of athletics, including preparing schedules for facility use, issuing timely announcements of events and deadlines, arranging transportation for participants, and coordinating practice schedules for fields, gymnasiums, and aquatics centers.

  • Evaluates player contracts and fee structures and submits them for board approval.

  • Facilitates the operational requirements of athletic events, such as hiring officials, team physicians, supervisors, and police for home contests, verifying athlete eligibility, and arranging accommodations for visiting teams as needed.

  • Cultivates leadership opportunities among student-athletes by developing roles and responsibilities, supervising them actively during assigned duties, and creating systems for local awards and recognition.

Athletic Program Financial Management (In coordination with Principal)

  • Contributes to comprehensive fiscal planning initiatives encompassing both short-term and long-term objectives.

  • Assists in preparing and implementing the school system budget and coordinates department purchasing.

  • Coordinates budgeting through the head coach of each sport and submits budget requests to the principal for approval.

  • Recommends capital improvements and assists with negotiating contracts and agreements.

  • Formulates specifications to be incorporated into contracts and bids.

  • Approves and oversees purchases for all sports, ensuring adherence to proper purchasing procedures.

  • Oversees all aspects of ticket sales and fundraising endeavors within the athletic program, including approving sales and advertising strategies across all sports.

  • Administers the receipt and disbursement of student activity cash funds.

  • Supervises and guides the fiscal planning/execution of all parent volunteer organizations supporting the high school athletic program.

  • Collaborates with coaches and the athletics bookkeeper to oversee financial management and contractual obligations of athletic programs, including staff supplements, public fund expenditures, fundraising procedures, and contract execution.

Facilities and Gameday Management (In coordination with the Principal)

  • Coordinates staffing for home contests, including gate workers and administrative coverage.

  • Oversees game day logistics by collaborating with the Montgomery County Sheriff's Department and local partners to ensure smooth operations for parking, traffic flow, and security on game days.

  • Partners with the approved agency to ensure athletic trainer and emergency medical coverage as required for PRS athletic events.

  • Coordinates with Student Support Organizations to manage concession stand schedules and ensure post-contest cleanliness of all athletic facilities.

  • Develops comprehensive checklists for ongoing evaluation of PRS athletic facilities.

  • Collaborates with the principals, central office, coaches, and boosters to maintain and improve facilities.

  • Works with the facilities department to address any necessary adjustments or repairs.

  • Coordinates announcements and public engagement to encourage participation at games.

  • Ensures the reservation of fields and the scheduling and oversight of sports events in alignment with BOE policy.

  • Partners with the superintendent regarding possible facility use agreements for community stakeholders.

Personnel Management

  • Coordinates and schedules regular meetings with all Head Coaches and weekly in-season meetings with the collective and individual Head Coaches.

  • Supports coaches by attending pre-season parent meetings, assisting in fielding questions, and offering FAQ platforms as requested or required.

  • Recruits, screens, interviews, and recommends prospective coaches, making coaching assignment recommendations.

  • Supervises and evaluates coaching staff and other athletic personnel, monitors personnel time records, and approves attendance at professional meetings.

  • Provides opportunities for professional development for the coaching staff, investigates complaints regarding employee conduct or performance, and offers staff leadership to promote the district's athletic objectives.

  • Assists coaches in handling day-to-day problems, resolves staff problems, and supports coaches.

  • Makes recommendations to principals and the personnel department regarding the selection and assignment of staff members.

  • Works with head coaches to acquire non-employee coaches using the approved PRS framework.

  • Collaborates with coaches to ensure legal and policy compliance and high professional ethics.

  • Collaborates with transportation director for CDL training for coaches

General Duties

  • Manages and oversees the implementation of the school district's drug-testing program, ensuring compliance with regulatory requirements and ethical standards for all extracurricular and student driver drug-testing

  • Coordinates drug-testing schedules and procedures, as well as communicates with students, parents, school staff, and external stakeholders to maintain the integrity and effectiveness of the program.

  • Conducts thorough and professional home visits to verify residency information provided by students and their families, ensuring compliance with district policies and regulations.

  • Maintains accurate records of residency verification visits, including observations, interviews, and relevant documentation, to support the enrollment process and effectively address discrepancies.

  • Supervise students during lunchtime in the cafeteria, ensuring a safe and orderly environment conducive to healthy eating and social interaction.

  • Fosters positive relationships with students by engaging in conversations, offering support, and promoting respectful behavior during lunch periods.

  • Maintains visibility throughout the school day, beyond athletics, and remains willing to assist in promoting a positive and collaborative work culture.

  • Maintains a positive demeanor about Pike Road Schools and the local community whenever representing our school system.

  • Establishes and maintains a system to track academic progress and promotes student-athletes pursuing post-secondary opportunities.

  • Develops and manages a system to notify parents about available scholarships for collegiate athletic programs.

EVALUATION: Job performance will be evaluated in accordance with provisions of the State Department of Education and/or Pike Road Board of Education policy on the evaluation of certified personnel.
