On July 27, 2023, TC Energy announced the intention to spin off our Liquids Pipelines business and separate into two independent, investment-grade, publicly listed companies - TC Energy and South Bow. Please note that all hires will continue to be formally employed by a TC Energy employing entity until the separation is complete.

The Opportunity

South Bow is evolving to meet the needs of our business and we are seeking an experienced Executive Administrative Assistant to support the General Counsel. The successful candidate will be responsible for complex and confidential administrative assignments requiring a high level of professionalism, sense of urgency, and strong attention to detail.

The Executive Administrative Assistant will have interaction with internal and external stakeholders, external agencies, external service providers, and must demonstrate a collaborative approach. Applicants interested in this opportunity must be comfortable working in a deadline-driven environment with constantly changing priorities.

What you'll do

  • Manage a heavy calendar, coordinate priorities and meetings, manage schedules, book appointments and business travel arrangements

  • Lead day-to-day administrative support

  • Act as a liaison between Senior Executives and their Assistants

  • Prepare, format, and coordinate reports and presentations (up to Board level) using PowerPoint, internal databases, and external resources for internal and external audiences

  • Provide professional drafted communications for memos, letters, and presentations

  • Reads and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

  • Takes and publishes meeting minutes per business needs.

  • Assist in the management of routine workflows

  • Execute various processes for department, including organization and position management, utilizing workforce and SAP software suites for requests and information management as well as department moves and office planning

  • Complete timesheets and expense reports as required

  • Handle highly sensitive and confidential information and issues in an appropriate and professional manner; and direct sensitive issues to appropriate executives

  • Manage information and reports including electronic filing as well as maintain critical filing systems, contacts and databases

  • Act as the primary point of contact and build valuable relationships with key internal/external parties

  • Manage e-mails and written responses to external parties as required

  • Track and follow up on action items, invitations, correspondence and documents for signature

  • Review, develop and implement departmental administrative processes and training on systems where applicable for new and lesser experienced associates in the department

  • Develop relationships and work collaboratively on tasks and deliverables with leaders and administrative staff in both Canada and US

  • Other tasks as required

Minimum Qualifications

  • A minimum of ten (10+) years of related work experience with increasing levels of responsibility with experience at the Executive Administrative level

  • High school diploma or post-secondary certification in administration from a recognized institution

  • Experience supporting senior executives in a fast paced, dynamic environment

  • Exceptional professionalism, excellent communication and presentation, and the ability to maintain utmost confidentiality

  • Understand business priorities and proactively anticipate needs, take initiative without prompting

  • Sound judgment and the ability to work independently with little direction

  • Proven organizational, planning, prioritization, scheduling and time management skills

  • Ability to work and communicate comfortably and effectively at all levels of the organization

  • Possess tact and diplomacy while working positively with others

  • Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs

  • Expert in the use of MS Office (PowerPoint, Excel and Word)

  • Proven interpersonal skills

  • Excellent written, proof reading and editing skills

  • Creative at identifying process improvement opportunities

  • Strong business acumen

  • Ability to work extra hours as needed

Preferred Qualifications

  • Bachelor's degree from an accredited college or university

  • Energetic individual who is a self-starter, has a willingness to help the team and an ability to learn and adapt quickly

  • Ability to use unconventional approaches to solve problems when standard approaches are not effective

  • Takes pride and keenly cares about quality of work
