Responsibilities:

1.Student Registration. Utilize advanced knowledge of the student enrollment process, academic program requirements and campus semester/term parameters in the facilitation of student registration.

Serve as the University expert for the setup and operation of the registration system, including but not limited to, rolling term, processing term course forms, year term calendar maintenance, term-based edits, restrictions, coordinated academic calendar dates, registration windows and registration edits. Assist students, staff and faculty at student registration events and troubleshot and resolve escalated registration issues that arise. Manage, implement, and coordinate the Minnesota State student registration system and WSU registration procedures.

Create access codes for appropriate student populations each term, maintain cohort lists, add necessary holds, and disable waitlists at the appropriate time. Coordinate the registration parameters with the registration coordinator at the WSU-Rochester campus. Assist the Office of Legal Affairs with enrollment of students into the required Sexual Violence Prevention course each term. Respond to individual student registration related matters including but not limited to course changes (e.g., add, drop, withdraw) and exceptions for course registration overrides, registration edit restrictions, and student holds where it is determined that there has been an administrative or institutional responsibility or error.

2.Optimize Course and Classroom Scheduling. Serve as the University expert and system administrator for all academic courses and classroom assignments.

Establish and implement course and classroom scheduling policy through consultation with university administrators, deans, and directors. Ensure efficient and effective course scheduling utilizing knowledge of the learning spaces (technology, design, proximity, etc.) and course needs (lecture, lab, etc.) to optimize the learning environment for students and faculty. Advise and provide information regarding scheduling policy and procedure through participation on the University wide Finance and Facilities Committee which is responsible for space utilization matters. Manage, implement, and coordinate the Course and Event Management System (CEMS) and the Minnesota State ISRS Classroom Term Course Scheduling Module.

3.Academic Curriculum Records. Serve as the department expert for Academic Curriculum in regard to course creation and revision.

Advise and assist deans and department chairs in determining the parameters required in the curricular record (e.g., courses restricted to majors; GPA requirements; pre-requisites). Advise, troubleshoot, and assist in the resolution of curricular issues regarding new, current, and revised course proposals, department major/minor requirements, college requirements, degree requirements, and prior and current general education requirements. Coordinate and verify curriculum information for the WSU Undergraduate and Graduate catalogs.

4.Student Academic Records. Responsible for the maintenance of student records ensuring accuracy, integrity, and confidentiality of information in compliance with applicable policies and federal law.

Serve as one of the individuals at WSU permitted by Minnesota State to resolve duplicate student records and perform deletion of student records in the Minnesota State ISRS student record system. Assist with the processing of repeat grades each term and in the evaluation of Academic Pardon Requests. Coordinate with WSU Information Technology regarding the purchase of equipment, physical maintenance of systems, and software support for document processing and other office automation.

5.Commencement. Work with graduating students and supporting faculty/staff from multiple areas across the University towards a successful commencement.

This includes attending commencement meetings as necessary, and possibly facilitating training for students/staff. Support relevant staff for communication of details and changes to all stakeholders for a seamless event.

6.Perform other duties as assigned. Ensure the smooth functioning of the department and support team members as necessary, including but not limited to participating on committees and work groups and participating in professional development opportunities.

Working Conditions

  • This position is located in a professional office environment working during university business hours.

  • Some evening and weekend assignments are required at times to meet deadlines for degree auditing, graduation, and other critical support services.

Physical Effort

  • Must be able to load, unload, carry and set up bulky recruitment materials to remote locations by themselves.

  • Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
