Job Description:

Fulfills the mission of Norwich University by serving as a certifying official for veteran's affairs, supporting concurrent enrollment programs, calendar management in the event scheduling software, and customer service relations are expected to explore and implement solutions to achieve the Registrar's Office's desired outcomes. Serves as the Office of the Registrar's liaison to colleges, academic departments, and all other constituents of the University.

Essential Functions:

  • Advises, counsels, and effectively communicates with students and/or parents regarding the use of VA Educational Benefits and/or Military Tuition Assistance.

  • Coordinates and collaborates with Bursar's office regarding VA/TA contracting, invoicing, etc.

  • Maintains and updates the Norwich.edu external website and catalog for compliance with the DOD Memorandum of Understanding and the VA regulations.

  • Evaluates processes based on changes to compliance regulations related to use of VA benefits or Military Tuition Assistance.

  • Participates in orientation planning and presentations regarding VA Educational Benefits and use of Military Tuition Assistance.

  • Processes initial certification of enrollment and subsequent changes in status for all on-campus students utilizing VA Educational Benefits (approx. 125-175/semester).

  • Maintains Military Portal information in compliance with DOD MOU.

  • Reports changes in student status, graduation, grades, withdrawals, suspensions, etc. to VA and/or Military portals.

  • Collaborates with the University Veteran support team to include Admissions, Bursar, Financial Aid, Registrar, and National Guard representatives.

  • Analyzes degree and learner records to resolve data discrepancies related to student curriculum, registration, and use of VA or TA funding to ensure compliance.

  • Maintains detailed records for use in regulatory audits by the VA or DOD.

  • Assists with Annual catalog review for State Approving Agency (SAA); compilation of 85/15 or Exemption requests for VA and updating of DOD MOU.

  • Updates and submits VA Work-Study application once per year to maintain active worksite status. Worksite Supervisor, managing workers, timecards, approvals, etc.

  • Completes trainings as required by the Department of Defense and required annual training for Veteran's Affairs School Certifying Official.

  • Serves as the liaison between the coordinator of concurrent enrollment programs and advising personnel.

  • Manages course sections for concurrent enrollment programs, in addition to grade management.

  • Manages academic rooms and calendar within the event management software.

  • Analyzes and defines operational and procedural problems to develop, recommend, and evaluate proposed solutions.

  • Supports the University-wide goal of maintaining the academic integrity of Norwich's academic records as well as support goals related to the overall objectives, policies and procedures of the Registrar's Office and Norwich University.

  • Communicates with employees, students, and others in a respectful and clear manner.

  • Serves on University committees, councils, workgroups, or other designated bodies as assigned.

  • Achieves, maintains proficiency in, and utilizes computers, telephones, and other job-related equipment, including related systems and software.

  • Speaks, reads, and writes in English.

  • Communicates by telephone, email, letter, in person, or other means or device.

  • Performs other tasks as assigned by supervisor.

Requirements:

  • Bachelor's Degree or relevant working experience.

  • Three to five years of professional work experience in student records or a related field (police, healthcare, etc.) preferred.

  • Knowledge of FERPA regulations.

  • Ability to work independently under several varying deadlines.

  • Ability to seek solutions independently and collaboratively to challenges, efficient work performance, and to better assist those we serve.

  • Proficiency in MS Office (Word, Excel, SharePoint, Teams, and Outlook) and databases (i.e.: Student Information System such as Banner, Dynamic Forms, Record Management, DegreeWorks) or comparable databases.

  • Able to sit, squat, reach, push, pull, and manipulate related equipment; lift 15 pounds; travel outdoors to various parts of the campus.

  • Work some evening or weekend hours.

  • Travel as needed (public or private transportation).

Environmental Conditions

  • Indoor work at a computer workstation

  • Low level of exposure to noise, dust, fumes, vibrations, and temperature changes
