Associate Program Manager Events

Do you love working on large events? Are you obsessed with details and planning? We are looking for an Associate Events Manager to join our team to help bring to life all aspects of event planning within TaylorMade. This role will collaborate with internal teams and external vendors to plan events including sales meetings, product launches, trade shows, in-store events, and other internal meetings as defined and scoped.

Essential Functions and Key Responsibilities:

  • Responsible for execution of events on time and within established budgets, including:

  • Manage all on-site execution for each event including scheduling, site set-up, registration, event, breakdown & cleanup.

  • Work with internal stakeholders through event planning & execution

  • Throughout event, troubleshoot problems, facilitate audience, ensures event/meeting production is properly executed

  • Manage communications and promotional materials for events

  • Create RFP(s) for group hotel and meeting space needs according to event specifics, etc.

  • Prepare design briefs for all event collateral (signage, tickets, branding, etc.). Work with TM Production department on print timelines, execution and delivery.

  • Develop, implement and provide detailed agenda, timeline, and event checklist for all events & attendees as needed

  • Develop and maintain all facets of group travel manifest(s); rooming lists, transportation schedule, invitation and attendance lists.

  • Coordinate all venue management, caterers, set/room designers, AV, contractors and equipment

  • Research event venues and provide management with specifics on venue requirements, availability and logistics.

  • Manage storage and transport all event marketing materials and all meeting related collateral.

  • Performing post-event evaluation, creating reports for event stakeholders

  • Design and implement new methods to transform the digital experience of new events

  • Maintain event inventory and storage units; onsite and offsite.

  • Forecast event materials/swag for bulk ordering. Manage event materials/swag inventory and organization of the Events cage.

  • Research and cost gifting ideas and create a library of brands/vendors.

  • Performs other related duties as assigned

Knowledge and Skills Requirements:

  • Extremely organized and able to prioritize effectively

  • Creative thinker and problem solver

  • Ability to collaborate cross-functionally

  • Drives projects from conception to completion - strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines

  • Ability operate well in a fast-paced environment against rigid timelines

  • Excellent communication skills; verbal, written and presentation

  • Professional presentation and demeanor with customer service mindset

  • Flexible with ability to problem solve and make decisions quickly to adapt to changing situations

  • Experience with Microsoft Office: Excel, Word, PowerPoint, outlook

Education, Work Experience, and Professional Certifications:

  • Bachelor's degree in events management, marketing or other related field
  • 3+ years' event coordination experience required

Work Environment / Physical Requirements:

  • Office and event onsite environments

  • Flexibility in days and hours available for scheduled work; including some evenings and weekends when required to support events

  • Light to moderate physical effort equal to frequent lifting or moving of event materials

  • Required to sit and stand, bend and reach

TaylorMade is a performance driven organization and our total rewards approach to compensation is designed to support this. We consider many factors in determining base compensation, including position scope, job related knowledge, education, skills, experience, and work location. The expected annual base pay range for this position is $68,000 - $75,000. Additional benefits, such as health & wellness, performance bonuses, product discounts, holidays, paid time off, etc. may also be offered in accordance with our plans.
