This position is responsible for managing the day-to-day stock administration activities, and working cross-functionally within the organization to ensure timely and accurate equity-related withholding and reporting. Additionally, the role will support North America Payroll Tax activities.

Principal Duties and Responsibilities include, but are not limited to:

  • Maintain company's equity data using Merrill Lynch's Benefit Online (BOL) platform

  • Work closely with the Financial Reporting, Legal, Payroll, Global Compensation, Global Mobility, Treasury, Tax teams and External Consultants/Auditors

  • Administer day-to-day activities related to stock administration for both the US and Global plans (Both employees and Board of Directors) which includes ensuring accurate tax withholding for stock transactions and timely reporting of equity award data to payroll

  • Assist employees/former employees and business partners with their equity questions and requests

  • Calculate and approve application of Dividend Equivalent Units (DEUs) in Merrill Lynch's Benefit Online (BOL) platform

  • Perform annual FICA and Medicare withholding acceleration for RSU awards granted to retirement eligible population

  • Ensure that stock-related transactions are in accordance with China SAFE regulations

  • Manage the quarterly global equity chargeback process

  • Assist legal team with review of insider transactions, 10b5-1 trading plans and provide support for the legal team's preparation of accurate and timely filings for Section 16 Officers

  • Monitor payroll Tax Personnel / Treasury obligations to the IRS of equity compensation tax withholdings over $100K.

  • Monitor BAML/Ceridian transmission files and address discrepancies

  • Process Bank of America Merrill Lynch Invoices in e-buy and ensure proper mapping of such invoices in the general ledger

  • Attend industry-specific trainings in order to stay up-to-date on items affecting equity administration (NASPP trainings, etc.)

  • Provide ad hoc reports and analysis as requested by HR and Foreign subs

  • Oversee work performed by Colgate Business Services group (CBS) in Mexico such as filing requirements and funding requests.

  • Liaise with Ceridian Managed Payroll Tax team to support accurate tax administration including review and approval of tax adjustments, W2C's and quarterly/year end processes and audits.

  • Provide Payroll Tax reporting as needed.

Education/ Experience Requirements:

  • Bachelor's degree required, MBA preferred

  • Minimum 3 years of experience with stock compensation or equity administration, preferred

  • Certified Equity Professional(CEP) designation (or working towards), preferred

  • Experience with third-party vendor management and interaction (background working for or with an outsourcing vendor preferred).

  • Familiarity with Merrill Lynch's Benefit Online (BOL) platform, preferred

  • Experience with payroll tax will be a plus

Expected Areas of Skills/Knowledge/Abilities:

  • Strong PC skills required, proficiency in Microsoft Excel, Word, Access

  • Ability to interact and speak to executive level management and provide explanations, clarifications and intelligence with respect to their equity awards and deferred compensation.

  • Excellent written and verbal communications, ability to work with different departments and third-party resources to achieve mutual goals.

Critical to this role is the ability to build close relationships and trust with PEG affiliated managers, principals and partners. Additionally, the Talent Manager must work effectively and collaboratively across support functions including Leadership Recruiting, Staffing and the PEG Center of Excellence. Private Equity is a fast-growing business within Bain across. The primary objectives of the Talent Manager are to recruit, develop and retain PEG talent and help create a sustainable and desirable environment for PEG teams across the NA ringfence. Detailed responsibilities Talent management: * Staffing support * Design tools and processes to enable efficient 2-way communication between PEG RF Staffing & Pipeline Manager (NA-central team) and local PEG RF Office Leads – professional development needs, staffing preferences, sustainability issues, etc. * Ensure local ringfence leads are monitoring Manager PD in their local office, and provide guidance and mentoring on career path where appropriate * Ensure PEG RF Staffing & Pipeline Manager is up-to-date on Manager PD and have processes to incorporate those needs into staffing decisions * Create suggested staffing norms for local ringfences on dimensions such as team consistency, number of team members needed in ringfence, rotation lengths, etc. and support ringfence leads in implementing norms * Represent PEG's voice in global/regional HR and staffing decisions * Professional development * Ensure Managers and Principals are set up for success by utilizing structural best practices across the entire ringfence such as PEG sponsor identification, appropriately timed client/capability/industry mapping, inclusion in account process, etc. * Team with local office ringfence management and the program manager for staffing to manage principals' path to partner [or out of the business] * Ensure principals get the at-bats they need for us to evaluate them; work with local PEG RF Office Leads to distribute the survey * Use these tools and others to help develop and drive progress of ringfence-wide initiatives to improve sustainability, including: * Performing real-time diagnosis and intervention on sustainability issues along with local ringfence leads * Conducting longer-term analysis on drivers of positive and negative sustainability * Act as an ombudsman and "eyes and ears" of PEG ringfence (RF) – morale, culture, overall employee satisfaction Onboarding & Training: * Develop and provide PEG RF onboarding materials/training to new PEG RF Managers and Cs/ACs * Identify BDP operating procedures around shadowing/overlap * Ensure new starts have a clear understanding of PEG staffing and administrative processes * Coordinate with PEG Center of Excellence (COE) to update, organize, and track training for new PEG team members of all levels * ACs/Cs/Managers: Develop suggested training schedule, update materials, and potentially offer some centralized training sessions * Managers/Principals: Organize and track ongoing training to ensure continued learning * OVPs: Help COE develop training for OVPs (e.g. workstreams, scope writing, client management, etc.) * Senior outside hires (SOHs): Develop and provide onboarding/training for PEG senior outside hires (SOHs) to orient them to how PEG operates and the broader Bain system; act as a go-to resource for SOHs as questions arise * Lead planning and logistics for the annual PEG partner/manager training, including for example: * Helping Partner training team develop agenda and ensure presenters are preparing materials * Selecting and contracting with hotel and meeting space, drafting logistics memo and creating attendee survey, tracking attendance, etc.;
