Location: Full-time, hybrid with a minimum of 1 day in the Washington, DC office each week. Must be located in the central DC/Maryland/Virginia area.

Compensation: Starting salary range of $34.51 - 38.57 per hour

The Associate, Executive Office supports the day-to-day operations of the Council on Foundation’s Executive Office and serves as a liaison to internal and external stakeholders on behalf of the President & CEO and Chief of Staff. The incumbent anticipates the needs of the President & CEO and proactively addresses issues with an emphasis on sound judgment, discretion, and self-direction.

  • Manage the calendar of the President & CEO, including coordinating meeting and event schedules, communicating with external parties, and managing relevant logistical details.
  • Manage correspondence with both internal and external contacts on behalf of the President & CEO and the Executive Office, including sending out mail merges and forward emails from the President & CEO’s public inbox.
  • Work cross functionally to set up team meetings, meetings for the Leadership Team and meetings for the Board of Directors.
  • Support contracts management on behalf of President & CEO and/or Chief of Staff.
  • Liaise with internal and external stakeholders on behalf of the Executive Office, including coordinating outreach to members, funders, press, and vendors.
  • Prepare, produce, and distribute background and briefing materials and itineraries related to meetings, presentations, conferences, and travels for the President & CEO.
  • Manage President & CEO’s database of contacts and upload relevant notes in Salesforce to support the cultivation of ongoing and prospective relationships.
  • Make travel and lodging arrangements for the CEO & President.
  • Partner with Senior Manager, Executive Office to manage requests for speaking engagements and other public appearances of the President & CEO, including collaborating with thePresident & CEO and Chief of Staff to determine engagements to pursue.
  • Oversee timely completion of expense and travel reports for President & CEO.
  • Develop process improvements that have measurable results.
  • Contribute to overarching organization goals by participating in cross-functional working groups.

Requirements

QUALIFICATIONS

  • High School Diploma or equivalent.
  • 3 years or more experience in direct support role for a senior leader in management.

POSITION SPECIFIC COMPETENCIES

  • Experience thinking independently and using discretion, initiative, creativity, energy, and discipline to support a senior leader.
  • Experience with travel planning and managing expense accounts, preferable Expensify.
  • Strong written and verbal communication skills.
  • Excellent customer service skills to include active listening, empathy, and problem-solving.
  • Experience in philanthropy and/or nonprofit sector preferred.

  • Experience or ability to use CRM database solutions, preferably Salesforce.
  • Proficient skills in Microsoft Office 365 applications.
