The Associate Eligibility Specialist, provides advanced level customer services and support to Human Services staff and clients.

Essential Duties:Work involves review of applications for completeness, data entry into complex computer program (CBMS) and a workflow management system to initiate application and start renewals in preparation for Eligibility Specialist. Employee will triage incoming work to appropriate individuals for processing.

Employee will be responsible to scan incoming work and upload documents in our workflow management system. Employee will research case files on audit list, locate case files, review for information required, copying case files and communicate with staff in numerous areas to assist in file location and preparation. Work also involves receiving information from area hospitals and other health care providers to document birth of children, review of information to ensure accuracy, data entry into CBMS, communication with Lead Workers to ensure case is processed correctly, filing and electronic case file management. Employee may also be the first point of contact in the lobby which will include; making referrals to appropriate services and assistance available in the agency and community; alerting staff of walk-in customer requests for face to face contacts.

This is a fast-paced, high volume position that will require exceptional attention to detail and a great ability to multitask. As well as working closely with a team where communication and organizational skills are essential.

High school diploma or equivalent certificate required. Prefer a minimum of one year work experience in a high volume customer services environment.

Preferred Qualifications:

  • CBMS experience or ability to navigate complex computer systems and databases is strongly preferred.

  • Familiarity with Assistance Programs including: Long Term Care, SNAP, Food, Cash, Medical.

  • Experience working in a role where accuracy is extremely important.

Responsibilities for this role include, but are not limited to: reviewing, analyzing and responding to appeals, inquiries, and complaints within established timeframes; ensuring appeal and resolution responses are complete, grammatically correct, and of a nature that appropriately represents the companys position; maintain companys Client Matrix and other reports or documentation as they relate to each clients appeal standards and requirements; * Contributing to the development of Appeals functions, including workflows, policies and procedures, staff training, and documentation; * Acting as a departmental resource on Appeals matters as required; performing research as warranted; responding to attorney inquiries and litigation notices; and * Special projects as assigned Primary Duties - Summary Coordinate work for, and work with, Divisional Claims Coordinator triaging medical records, setting up claim appeals in Equian Systems, and other duties to be determined. * Set up Appeals (includes receive, analyze, evaluate, and track appeal documents; follow inquiries and complaints through final resolution) in accordance with established processes and procedures, and within established time standards. * Provide quality written responses (applying appropriate composition, grammar, punctuation, and spelling) to appeals, inquiries, negotiations, and complaints within established time standards. * Create, compose, and maintain appeal response templates, and routinely review to update language, and apply and coordinate such updates and changes under the guidance of the Director of the Resolution & Appeals Division and other Management as appropriate. * Coordinate with Appeal Department Management and Senior Specialist, as required, to compose appeal responses. * Communicate/interact with clients and providers (telephone, email, other written correspondence, participate in meetings) as required. * Perform research and provide documentation for Appeal matters as requested within required time frames * Update claims (logs, dates, processes, documentation) in Equian system in accordance with company standards within established time standards * Update and maintain the accuracy of the Appeal section of the Client Matrix for each client to ensure appeal response requirements (such as timelines, policies and procedures) are available for reference to set up claim appeals when received * Perform peer QA of appeal responses as-needed * Participate in department and company meetings as requested * Participate on committees and special projects (as assigned or required) to ensure consistency of the claim review from the initial report through the appeal process * Meet time, quality, and customer satisfaction standards * Complete special projects related to appeals as assigned, within required time standards * Understand, maintain, and apply HIPAA, confidentiality, and privacy standards to assigned work, as well as ERISA and fraud, waste and abuse laws Experience 2-5 years of relevant experience or equivalent combination of education & work within healthcare payers/claims payment processing \ Familiarity with appeal regulations, medical terminology, and coding Familiarity with plan benefit, ERISA, Medicaid and Medicare requirements Experience in health law or regulatory field strongly preferred Requirements Knowledge of claims processing methodologies Knowledge and understanding of healthcare appeal procedures Knowledge of ICD9, ICD10 and medical terminology.
