Required:

  • Bachelor's Degree

Preferred:

  • Master's Degree in Computer Science

  • Project Management Professional (PMP) Certification

Experience Required:

  • Minimum of five (5) years of leadership experience with an emphasis in Project Management, Business Analysis and customer service, knowledge and understanding of K-12 education organization, goals and objectives, policies and procedures

  • Demonstrated progressive experience in project management with a focus on technology

FUNCTION:

The Associate Director provides leadership and direction to the technology teams responsible for end-user support areas. Assist the Director of Technology Support Services to effectively manage the Support Service staff, ongoing projects such as new construction and existing construction retrofits. Provides project management, project planning and setting project milestones based on project goals, timelines, and budget allocations. Meets with Project Owners and Stakeholders to gather and document project requirements and reaches agreement on the Scope of the Project. Ensures project deliverables are in-line with project expectations. Keeps management informed on the status of the project and proactively identifies obstacles that may jeopardize project success.

MAJOR RESPONSIBILITIES & REQUIREMENTS:

Project Management

  • Provides leadership and direction to the planning, implementation and support teams responsible for end-user support for departments and campuses, help desk, technology asset management, fixed asset management, technology standards and student technology support teams.

  • Manage, direct, and assign priorities and personnel to projects to ensure the attainment of the District and department goals and objectives.

  • Defines the project scope and develops the work plans

  • Responsible for completing the project on time, within budget and to an agreed scope

  • Assure that technology projects are managed, implemented, documented and reported transparently to ensure that all stakeholders are informed and part of the process.

  • Manages the project team on behalf of the project sponsor on a day-to-day basis

  • Closely manages work activities to ensure they are well performed, coordinated among team members and consistent with the approved work plan

  • Establish, implement, and manage an effective process for identifying technology needs, budgets and implications for bond construction, capital improvement projects, or other technology deployment projects.

  • Develop, implement, and oversee plans and procedures for the installation and configuration of acquired technology including project objectives, technologies, specifications, schedules, funding, and staffing.

  • Manage assigned project personnel to ensure successful completion of assigned tasks.

  • Lead meetings with project teams in project planning, execution, documentation, and project closure to ensure program integrity.

  • Maintain documentation on assigned project plans, acquisition processes, procedures, execution documents, and project closeout deliverables.

  • Develop and maintain effective working relationships with internal management, vendors, facility owners, General Contractors, and other trades involved in a project.

  • Conducts project risk assessment and facilitates the technical sign-off process, ensuring that technical issues are addressed and keeps the project owner informed of project risks and outstanding technical issues

  • Meet with Coordinators and Directors to coordinate inter-area tasks

  • Meet with vendors in a proactive and reactive manner to prevent and resolve problems

  • Utilize project management software for efficient use of time and resources

  • Prepare, and deliver weekly and monthly reports describing projects completed and updating progress against project plans to the project owner, Director and Chief Technology Officer.

  • Maintain up-to-date knowledge of technology contracts and supervise contract-based installations.

  • Provide feedback to the Director for continuous improvement of technology deployments and day-to-day workflow.

  • Assist the Director with long-range Planning and Strategy

  • Make frequent presentations to the District staff, campus staff, and the Board of Trustees as needed.

  • Coordinate a continuing evaluation of information and technology services and implement changes as appropriate.

  • Research and prepare Requests for Proposals (RFPs) for equipment and/or software.

Customer Support

  • Provide a highly effective district and school-level end-user support experience including policies, procedures, and best practices with full reporting, including implementation of a customer feedback process.

  • Continually work to improve customer services perception, delivery and satisfaction.

  • Track, report, and meet Key Performance Indicators (KPI's) on the delivery of District and school level technology support and provide weekly summary reports to the Director and Chief Technology Officer.

  • Collaborate with instructional technology and curriculum teams to provide the necessary support of instructional devices.

  • Coordinate and cooperate with departments and schools to ensure excellent customer services outcomes.

  • Assist schools and administrative departments with technology needs.

  • Coordinate support between vendors and service providers and district staff.

  • Coordinate a professional development path for all staff

  • Able to resolve personnel problems

  • Evaluate the job performance of employees to ensure effectiveness and make sound recommendations relative to personnel placement, transfer, retention, and dismissal..

  • Develop training options and improvement plans to ensure exemplary operations in the technology support area.

  • Ensures District cybersecurity policies, standards, and practices are implemented, monitored and maintained in the areas of oversight.

Technology Standards

  • Support, implement, maintain and revise District standards and specifications for hardware and software.

  • Ensure all projects, both internal and external, are executed in accordance with internal technology asset management policies and District Technology Standards.

  • Periodically plan and conduct technology asset management activities, including audits of campus and administrative facility technology assets.

  • Oversee the development and maintenance of long-term strategies and replacement plans for District technology needs.

Inventory

  • Oversee the management of Technology Assets and device life cycles.

  • Coordinate contract negotiations for computer hardware, software, maintenance, and related services as needed.

  • Coordinate the deployment and inventory of all computer hardware, software, and supplies.

  • Ensure the district's technology inventory systems are current and up to date.

  • Recommend and oversee the disposal and replacement of obsolete equipment when necessary and in accordance with replacement plans.

  • Oversee the installation, maintenance, and repair of all computer hardware and software throughout the district through the development and implementation of an equipment replacement plan.

  • Perform other duties as assigned by the Director of Technology Support Services.

SUPERVISORY RESPONSIBILITIES:

  • Supervise and evaluate the performance of all assigned technology department personnel.

WORKING CONDITIONS:

  • Ability to perform management assignments during non-scheduled working hours. Ability to maintain emotional control under stress. District-wide and out-of-District travel. Occasional prolonged and irregular hours.
