JOB SUMMARY

Under the leadership of the Director of Student Accounts, the Associate Director assists in the overall management of the WP Online program which includes billing, registration cancellation, accounts receivables and student refunds. This position is responsible for oversight of the collections unit which includes one staff member. The position shares responsibilities for creating and maintaining fee assessment rules in Banner and student refunds. The Associate Director will also ensure the effective use of technology and problem solving as it relates to WP Online to improve overall operations.

PRINCIPAL RESPONSIBILITIES

  • Oversees WP Online program which includes account review and weekly billing according to registration and payment due dates.

  • Generates and reviews outstanding balance reports for dissemination to Enrollment Services, Registrar and Financial Aid Office in preparation for registration cancellation.

  • Responsible for submitting final registration cancellation list to IT and Registrar for processing.

  • Reconciles WP Online billing file and invoice based upon the current contract rate to Academic Partnerships for each session.

  • Works collaboratively with the associate director to manage fee assessment rules for main campus, WP Online program and high school students each semester.

  • Responsible for reviewing and placing financial holds on WP Online accounts with an outstanding balance.

  • Shares responsibilities for processing financial aid and other refunds in Banner via direct deposit or paper checks on a weekly basis.

  • Generates refund file via TouchNet and forward information to the Controller's Officer for approval and transmission to bank.

  • Performs reconciliation functions related to bookstore deferments and digital access fees. Review and process invoices for Follett each semester.

  • Manage Graduate Assistantship waiver program each semester. Reviews for accuracy and prepares spreadsheet for submission to the Payroll Office for taxable purposes.

  • Shares responsibilities of maintaining TouchNet payment processing system, payment plans and enrollment/housing deposits.

  • Reconciliation and preparation of the Nursing Faculty Loans materials for submission of annual reports. Reviews monthly journal entries to ensure accuracy.

  • Prepares routine and ad-hoc and other financial reports for management.

  • Performs other duties as assigned and appropriate to the position.

MINIMUM QUALIFICATIONS

  • Bachelor's degree from an accredited college or university in accounting or business with a minimum of 18 accounting credits is required. A master's degree in business or accounting related field, an MBA and or CPA is preferred.

  • Five years of progressively responsible accounting experience, two years of which must be in a supervisory capacity. Experience in an institution of higher education is preferred.

  • Extensive and demonstrated working knowledge of generally accepted accounting principles and financial operations and systems.

  • Experience using Enterprise Resource Planning (ERP) System is required with knowledge of SunGard/Banner software for higher education preferred.

  • Proficiency in the use of Microsoft Office products is required. Experience in the use of SAS preferred.

  • Demonstrated ability to communicate effectively in writing and orally.

  • Strong analytical and organizational skills, accuracy and attention to detail.

  • Ability to conduct research and develop cogent recommendations based on findings.
