Position Summary:

We have an exciting opportunity to join our team as a Associate Director, Purchasing.

Under the direction of the Culinary Director, and collaboration with the Director of Operations, the associate director for purchasing is responsible for all aspects of purchasing and vendor compliance within Food and Nutrition Services across the NYULH system. The position works in collaboration with the site directors and executive chefs, on all areas of responsibility for the purchasing and standardization of products and services, and for related the functions and activities performed.

The position also will ensure that an adequate inventory of food and non-food supplies is on hand by directing the purchasing, receiving, and disbursement processes to maintain an efficient, cost effective operation that is standardized across all campuses. Maintains effective communication among sites, directors, and executive chef leadership. Develops, recommends, implements and maintains policies, procedures, and/or programs to improve or enhance the quality, safety, efficiency, and/or effectiveness of procurement in collaboration with other disciplines.

Job Responsibilities:

  • Demonstrates knowledge of the organization's Core Values and incorporates them into the performance of duties.

  • Supervises receiving staff to ensure the smooth functioning of the department. Coordinates work hours for employees, assigns responsibilities, and monitors work productivity.

    Liaisons with departmental management at the hospitals regarding any performance, discipline or termination issues. Collaborates regarding personnel issues associated with employment and grievance procedures in coordination with departmental leadership. Ensures adherence to departmental policies and procedures.

  • Policies and Procedures

  • In conjunction with departmental leadership, establishes and administers policies and procedures for Food and Nutrition Services. Ensures policies and procedures are kept up to date.

    Establishes systems to communicate any policy or procedural change to all departmental staff and other Medical Center personnel as required. Understands what the departmental and institutional goals are and sets objectives in order to reach them.
  • Plans and directs the activities for purchasing all food, non-food supplies, and related services inclusive of all purchase order processes to assure timely delivery and quality service to all end users.

  • Purchase all food and non-food supplies/services in accordance with NYULH sourcing protocols and regulatory agency standards, and specification to promote smooth running operation. Ensures that supplies are ordered and received timely in accordance with quantity and quality standards by verifying receipt of goods. Verifies accuracy of invoices as good are delivered.

  • Collaborates with Supply Chain Management on contracts and protocols to ensure standardization compliance with NYULH policies, and optimize pricing.

  • Financial Management

  • Participates in cost control activities by seeking the most effective method of delivering services. Works with department and/or outside vendors to establish an appropriate billing system.

    Evaluates, develops and institutes appropriate system changes as needed. Identifies, recommends and implements changes and initiatives to create value, and communicates system changes.
  • Quality Assurance
  • Monitors and maintains an operational storage location at all NYULH (Manhattan, LOH, Brooklyn, Long Island and LICH) for regulatory compliance. Inspect walk in refrigerators and storage areas at all NYULH locations for proper storing of food and supplies, as per TJC/DOH standards. Manages performance improvement projects related to quality.
  • Patient Satisfaction
  • Monitors and improves patient satisfaction. Develops and implements master food and supply purchase listing with vendors for all NYULH (Manhattan, LOH, Brooklyn, Long Island and LICH) to enhance patient experience.

    Reviews and responds to patient complaints in coordination with the patient experience office. Works collaboratively with all campuses to assure an optimum patient experience.
  • Regulatory Compliance
  • Ensures compliance with all regulatory guidelines and accreditation standards. Ensures adherence to the applicable standards for the Joint Commission as well as applicable Federal, State, and City regulations, and makes recommendations for periodic changes as needed.

    Adequately maintains an environment of survey readiness. Ensures departmental policies and procedures are in compliance with all applicable regulations and standards. Ensures staff have completed required mandatory compliance trainings. Communicates policy and regulatory changes to all staff.
  • Acts as the liaison between the approved Group Purchasing Organization, USFOODS, Dairyland etc. as well as the specified Prime Vendor to maximize cost savings and efficiencies for all agreement.

  • Responsible for development and preparation of various financial reports inclusive of but not limited to benchmarking data, usage reports and ending inventory.

  • Performs other duties as assigned, by Senior Director, Culinary Director and or the Director of Operations.

Additional Position Specific Responsibilities:

Oversees procurement for all NYULH - point of contact (USFOODS, Coke, Pepsi, Dairyland, Imperial etc.)

Work closely with vendors on products and vendor compliances

Ensure all NYULH are purchasing the same products and specifications

Work with the team at all locations to develop the Master Listing for purchasing

  • USFOODS

Work closely with the executive chefs, at all locations with approved substitution products

Visit each location at least once a month conduct food and physical safety audits for receiving areas & walk in - refrigerators

Work closely with all of the system executive chefs to reduce waste and maximize value from supply chains

Work with all locations on the decanting process minimize cardboard, whenever possible

Work with all NYULH on Emergency Food and Supplies

Minimum Qualifications:

To qualify you must have a Bachelors Degree in Hotel Management, Culinary degree, Food Service Management, or related field.

5 or more years of progressive operations experience at the managerial level in a high-volume setting developing and executing sophisticated purchasing systems.

Serv Safe Certification (completion with first six (6) month of employment).

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $117,107.95 - $195,179.92 Annually.

Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
