Job Description

The Associate Director of Operations (ADOO) works in partnership with the school Director of Operations (DOO) to ensure KIPP NYC schools are safe, efficient, and set students up for success. The ADOO is an experienced School Operations Manager and developing leader who is working towards being a DOO successor or a founding DOO at a new school. In collaboration with the DOO, the ADOO oversees and is responsible for the non-instructional areas of the school, including the strategic planning, implementation and maintenance of clear systems that allow school instructional staff to focus on students and learning. The ADOO reports to the DOO and manages key members of the school Operations team. In special circumstances, the ADOO may serve as the operational leader in the building and manages the school Operations team.

Qualifications

Core Functions

  • Under the supervision of the DOO, the ADOO plans and leads the successful operational execution and maintenance of the following non-instructional areas of the school:

  • School materials procurement: Ensures school/staff/students always have the materials they need. Regularly used supplies are identified/replenished without request; essentials are never missing. Heading into a new school year, proactively plans with DOO, Principal and KIPP NYC finance team, places orders well in advance, and ensures school is fully stocked and set up by the first day of classes.

  • Student enrollment: With guidance from KIPP NYC operations team, plans and manages student recruitment efforts to ensure 100% of application target is met, and prospective families are engaged prior to the student lottery, and ensures that the school begins the academic year with 100% student enrollment targets.

  • Student food services & transportation management: Ensures 100% lunch form collection, track meal distribution according to regulation, coordinate meals for trips and other events, and ensure that all students have access to breakfast, snack and lunch daily; and ensures student MetroCards are obtained and distributed on a timely basis, and Metrocard data is entered into ATS according to DOE deadlines.

  • Technology & office equipment management: Ensures that school leaders & staff have access to the technology they need, serving as the liaison to the Tech Team for technical issues, and works with the KIPP NYC Technology team to plan any technology related enhancements or additional purchases for the subsequent school year.

  • Student information & data systems management: With guidance & support from the KIPP NYC data and operations teams, ensures accurate beginning of year set-up of PowerSchool, DeansList, ATS & SESIS systems (and other school-specific platforms as needed), ensures that school leaders, teachers and staff have the complete & accurate data sets they need to be successful.

  • In partnership with the DOO, the ADOO supports the successful operational execution and maintenance of additional non-instructional areas of the school. The DOO, in consultation with the Principal and Regional Director of School Operations, may delegate increased ownership over the planning and leading of one or more of the following areas to the ADOO:

  • Financial management: Ensures school is fiscally sound in accordance to the school budget, and compliant to KIPP NYC finance & accounting policies.

  • School trips & event management: Plans and coordinates logistics for field trips, and other logistically complex activities and events, including school-wide family events, concerts, and advancement ceremonies.

  • School safety & student/staff health management: Creates and manages health and safety systems, including emergency situations and student health data & protocol, and that these systems and information are reliable and clearly communicated to all staff. With support from the KIPP NYC Facilities team, ensures building safety compliance with the NYC DOE regulations.

  • School facilities cleanliness, organization & aesthetics: Ensures the school building is clean, organized, and welcoming for students and families. Owns most facilities issues including doing regular walkthroughs, liaising with custodial staff and the KIPP NYC Facilities team on any and all issues, and ensuring the facility in general looks the best it can.

  • School schedule & calendar management: With guidance from the KIPP NYC Shared Services Team, owns the creation and management of the school schedule and calendar, including communications to staff and families.

  • Supports the DOO in the management of the execution of academic operations at the school, including but not limited to the following:

  • Student Testing & Assessments: Ensures the smooth logistics of all student test administration, including show flow creation and management, materials, scheduling, distribution of test material, and progress monitoring to completion of assessments

  • Student Report Cards & Progress Reports: Works in conjunction with the school leadership team and KIPP NYC Teaching & Learning Team on report cards/progress reports/transcripts and ensures that these are delivered on time to teachers & families.

  • The ADOO manages and develops the skills and competencies of one or more members of the School Operations team in partnership with the DOO, specifically:

  • Hires and comprehensively onboards new school operations staff

  • Sets and progress monitors yearly goals for school operations staff

  • Holds consistent weekly O3s and operations team meetings

  • Conducts yearly performance reviews for school operations staff

  • Understands strengths and areas for growth of operations team staff and allocates projects and core functional tasks appropriately

  • Holds operations team accountable to the smooth execution of day-to-day operations of the school

Additional Core Functions

  • Supports the DOO with special projects as needed, and serve as point person for all special projects work

  • Escalates concerns and challenges to the DOO in a timely manner

  • Progress monitors the efficiency of daily systems and reports barriers directly to the DOO to inform continuous improvement

  • Serve as a full-time and engaged member of school staff, including accompanying students on field lessons (if needed), assisting with student enrichment activities, and working with other staff members to ensure fulfillment of school's mission.

  • Serve as active member of Building Response Team (BRT) and assists in any/all emergency or high-urgency situations

Compensation and Benefits:

KIPP NYC offers a competitive salary $97,850. Individual salaries are determined through a lens of equity, accounting for years of experience relevant to the role and scope of responsibilities, and are benchmarked against others within the same salary band.
