Function: The Associate Director of Operations will lead and facilitate the daily work activities of a diverse and inclusive team of operations staff who provide support services for Community Food Bank (CFB) organizational, strategic, and programmatic goals. The Associate Director will primarily be responsible for the operational areas related to Mobile Distribution, Agency Market, Inventory and Emergency Response.
Duties and Responsibilities:
- Participates and supports the Director of Operations with the organization's strategic and operational planning processes, aligned with the value of centering on those most closely impacted by the organization's actions as a member of the Operations Team.
- Oversees the implementation of all logistics, including scheduling systems, delivery, transportation with regards to mobile distribution, agency market, inventory and emergency action plans.
- Ensures an accurate inventory of products at all times through a maintained inventory control system.
- Analyzes trends in technology and assesses the impact of emerging technologies to create efficiencies in food warehousing and logistics.
- Ensures the safety of staff and volunteers.
- Facilitates and supports project planning for key initiatives between departments or between partners.
- Leads different departments within the warehouse operations, i.e. mobile distribution, agency market, inventory, and emergency action areas.
- Documents planning and project management practices to ensure transparency, replicability, and improvement.
- Actively contributes to a positive organizational and team culture where people feel valued, heard, and want to participate. Models the values of inquiry, learning, collaboration, and reflection to support diversity and inclusion efforts.
- Provides management and coaching to staff members, with an orientation toward learning, co-mentorship, and mutual feedback.
- Responsible for budget and fiscal stewardship for operations activities.
- In collaboration with Program Directors, sets emergency food production goals aligned with our strategic direction.
- Supports food distribution to hunger relief programs operated by CFB and our network of agency partners and subcontractors.
- Creates a culture of volunteer management that enables core functions to be fulfilled.
- Creates a culture around quality control and inventory accuracy, including building a solid training program for staff.
- Collaborates with the Operations team to create and implement Best Practices and Standard Operating Procedures for areas of responsibility, including cleanliness, housekeeping, and safety.
- Generates and prepares monthly and other reports to measure key program activities and provide data and metrics to evaluate CFB Operations functions.
- Upholds food safety procedures, support product traceability and recalls as needed, and maintain all compliance requirements, food safety standards, and necessary recordkeeping.
- Performs other duties as assigned.
Qualifications
Knowledge, Skills and Abilities
- Ability to lead different departments within operations, i.e. Mobile Distribution, Agency Market, Inventory and Emergency Response.
- Knowledge of all logistics, including scheduling systems, delivery, transportation with regards to mobile distribution, agency market, inventory and emergency action plans.
- Knowledge of Food Safety programs such programs as AIB, ServSafe, etc.
- Skills in maintaining an accurate inventory of products at all times through a maintained inventory control system.
- Ability to develop an annual operating budget.
- Ability to effectively lead and motivate staff.
- Ability to make complex decisions, allocate resources, and prioritize operational objectives.
- Ability to show initiative and flexibility in day-to-day operations when needed.
- Skills in leading change management and strategy development.
- Ability to demonstrate commitment to CFB's mission.
- High level of interpersonal skills and demonstrated ability to handle sensitive and confidential situations.
- Highly organized with a proven track record of efficiency and effectiveness.
- Strong analytical skills and ability to make sound data-driven decisions.
- Ability to travel across CFB's 5-county service area and to state, regional, and national conferences/meetings.
Minimum Qualifications:
- Five (5) to Seven (7) years of experience in a leadership role in warehousing, logistics, or other relevant experience.
- Three (3) years of staff management and supervisory experience.
- Bachelor's degree in a Business, Logistics or a related field.
- Intermediate proficiency in Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, etc.).
- For company insurance purposes, at least 21 years of age; possess a current Arizona Driver's License with a safe driving record.
Equivalent combination of education and experience may be considered if applicable and must be directly related to the functions and body of knowledge required to successfully perform the job.
Preferred Qualifications:
- Experience working or volunteering at a nonprofit and/or food bank.
- Experience in organizational development and team management.
- Bilingual in English and Spanish.
Physical Requirements:
- Light Work - exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
