The Associate Director of Admissions is the leader of a team of Admissions Specialists who are the primary contacts for the college for all prospective students. The Associate Director is responsible for training, supervising and evaluating the team of Specialists who provide information and exceptional customer service to members of the CSM community as well as the multitude of callers who seek general or specific information about the college. Primary duties include managing a variety of communications software; implementation of recruitment and current/prospective/non-returning student communications plans; working with the marketing team to develop promotional materials and advertising campaigns for internal and external recruitment events, and representing or assisting the Admissions staff with recruitment activities.

Specific Duties and Responsibilities

Essential Functions:

  • Supervise (4) full-time Admissions Specialists located at the La Plata Campus' Call Center.

  • Manage a variety of communications software systems including Ellucian Recruit (CRM), Ocelot chatbot, SMS (texting) platform Mongoose Cadence, Comevo online training, and other software as needed.

  • Assist the Director of Admissions in developing, implementing, and evaluating a comprehensive recruitment and communications plan that complements the college's Strategic Enrollment Management Plan.

  • Assist the Director by effectively managing the student data and enrollment funnel in the CRM to ensure accurate reports, functioning communication plans, and overall CRM health. These actions will lead to appropriate data to design strategies to improve prospective communications and increase.

  • Provide reports on admission trends and best practices as well as reports on application yield rates and other relevant metrics

  • Provide training, leadership, and direction to Admissions Specialists for CRM data management and utilization, group and individual visits to all campuses.

  • Conduct interdepartmental training for CRM Recruit and Mongoose Cadence.

  • Serve as the point of contact for Ocelot chatbot.

  • Serve as the representative of Admissions for issues with student admissions applications, student accounts, residency disputes, etc.

  • Serve as the System Administrator for the CRM, other recruitment software, and the Admissions web pages. Interface with IT, Marketing, and other departments as necessary to ensure consistent access, timely updates, and accurate interventions.

  • Serve on committees that directly impact the Admissions department.

  • Assist the Director with the implementation of various recruitment activities for the entire college such as high school visits, open houses, and information sessions.

  • Ensure that Admissions staff members are trained on enrollment processes of all students, the collection of documentation, and entering information into Colleague and the CRM.

  • Provide written documentation for all new and updated processes and procedures for the recruitment and Call Center staff.

  • Participate in Maryland community colleges affinity group. Keep apprised of best practices in admissions and related areas.

  • Oversee, build, and cultivate relationships with education and community partners internally and externally.

  • Remain informed about international policies, laws, and regulations.

Additional Duties:

  • Performs other related work as required.

Minimum Education and Training

  • Bachelor's degree in related field.

  • Three years' experience in enrollment services, college admissions, or in a student services setting.

  • Three years' experience with Customer Relationship Management software. Experience with Ellucian Recruit is preferred.

  • Two years supervisory experience preferred.

  • Prior experience in a community college preferred

  • Superior interpersonal skills required dealing with the general public, outside agencies and colleagues in a dynamic environment.

  • Excellent oral and written communication skills.

  • Effective problem-solving skills.

Physical Requirements:

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly.
