Job Description

SUMMARY:

Reporting to the Assistant Provost for Finance and Administration, the Associate Director for Operations and Analysis provides daily support to various functions within the Provost's Office. Working closely with all administrative units within Academic Affairs, the Associate Director serves as a key member of the Provost's Office team that works to support and promote data-informed decisions, with particular emphasis on the following areas: business operations (e.g. budget and finance), strategic/master planning, project coordination, space management, compensation benchmarking, personnel trends, student persistence and retention, new program development, assessment and evaluation of administrative units' efficiency, and market research. The Associate Director works independently and collaboratively, handles confidential information with judgement and tact, and collaborates across the division with schools/colleges and administrative units.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Supports leadership and administration with internal and external research and analysis of strategic initiatives, non-academic program reviews, and collective bargaining agreement negotiations.

  • Assists the Assistant Provost for Finance and Administration in planning, developing, coordinating, and conducting institutional effectiveness projects to assess the efficiency and progress of administrative units with the Academic Affairs Division.

  • Assists in leading an administrative program prioritization effort set by the Assistant Provost.

  • Writes standardized computer software reports (e.g., using SPSS output) for the purposes of providing descriptive, multivariate, and univariate statistics; is able to "tell the story of the data" and makes recommendations when appropriate.

  • Provides data and information used in the development of the Academic Affairs budget process

  • Schedules, manages, and prepares paperwork associated with ongoing strategic projects within the Provost's Office.

  • Tracks and monitors progress of major initiatives including but not limited to the following areas within Academic Affairs: Finance and administration, curriculum, assessment, and accreditation, Hispanic and international initiatives, academic personnel, and early/pre-college summer programs.

  • Contributes to the creation and dissemination of a project management software system.

  • Assists in the academic program vitality assessment process.

  • Helps set assessment and evaluation frameworks and develop common and shared plans for AE.

  • Prepares data, reports, and presentations for the Assistant Provost.

  • Constructs tables and charts for presentations of data in accordance with best practices.

  • Prepares in narrative form a written analysis and summary of data or assessment results.

  • Performs other duties as assigned.

QUALIFICATIONS:

REQUIRED:

  • Bachelor's degree from an accredited college or university.

  • Minimum of five years of relevant work experience in business operations preferably in higher education.

  • Progressively responsible experience in project management, with excellent organizational skills and ability to prioritize work.

  • Experience managing complex projects that involve cross-functional work across various divisions.

  • Demonstrated history of being a collaborative colleague who can handle confidential information with discretion, sound judgment, and attention to detail.

  • Ability to envision and propose new methods to perform tasks and create solutions to gain sought-after results.

  • Strong interpersonal and written communication skills; the ability to relate well to constituents at all levels of the institution.

PREFERRED:

  • Master's degree from an accredited college or university.

  • Seven or more years of relevant work experience in higher education.

  • Proficiency using software such as Excel and university-based information systems such as Workday, Banner, or Slate.

  • Experience with data analysis and visualization tools, such as SPSS, SAS/STAT, Qualtrics, or Tableau.

  • Ability to work independently and solve problems in a fast-paced environment.
