The Associate Director for Alumni Professional Engagement provides leadership and management for Advancement's alumni professional engagement efforts, offering a comprehensive and innovative suite of services and programs that support individual and group counseling, in-person and virtual professional development, networking and mentoring opportunities and lifelong learning events.

Constructs, implements, and manages a fully integrated collection of lifelong professional development programming, services, events and resources to meet the needs of alumni at all stages of career management, including new graduates, experienced professionals and career transitions.

Executes on annual and long-term performance metric strategies to increase alumni participation rates set forth in the university's strategic plan.

Leverages UCF Advancement's constituent database to record, track and measure all alumni professional engagement activities to positively impact alumni participation performance metrics set forth in the university's strategic plan.

Collaborates, where appropriate, with Advancement colleagues to design and deliver professional development programming aimed at increasing alumni engagement.

Counsels, advises and provides technical assistance to Advancement colleagues regarding best practices in alumni professional engagement.

Collaborates, where appropriate, with campus partners to increase program effectiveness and ensure professional development resources are accessible to all alumni.

Establishes and oversees partnerships with internal and external instructional providers to provide more robust professional development opportunities for UCF alumni.

Manages Brazen contract and coordinate virtual networking events and training sessions in an effort to engage remote alumni.

Serves as UCF Advancement's primary liaison to UCF Continuing Education and partner, where appropriate, on conferences, seminars, workshops, online and self-study programs.

Enhances web presence and social media promotion of alumni professional engagement opportunities.

Stays current on trends and issues facing today's and tomorrow's workforce, and benchmark programs and services with peer and aspirational educational institutions.

Safeguards the confidentiality of constituent and departmental information and comply with UCF Advancement's data privacy and integrity standards.

Minimum Qualifications

Master's degree in an appropriate area of specialization and four years of appropriate experience; or a bachelor's degree in an appropriate area of specialization and six years of appropriate experience.

Additional Minimum Requirements Preferences

Ability to effectively communicate, handle multiple priorities, and handle the pressure of deadlines.

Should be able to work frequent evenings weekends.

Ability to meet deadlines as established.

The ability to build and maintain relationships with alumni worldwide to expand UCF's professional network and help alumni develop and leverage networks over a lifetime.

The ability to recruit and convene prominent alumni and internal and external stakeholders to speak at events to advance UCF's mission of being America's Partnership University.

Maintains a complex calendar for the Assistant Vice President of Alumni Engagement and the Director of College Alumni Engagement which includes planning meetings, donor visits, internal and external meetings and events. Prepares professional correspondence including letters, memos, contact reports, proposals, meeting agendas and minutes, travel packets and manages incoming mail composing replies to general inquiries. Coordinates all aspects of Alumni Engagement individual and team meetings (5 annually) and retreat (1 annually) including scheduling dates, reserving meeting locations, crafting meeting agendas, organizing speakers/presentations, assembling supporting materials and taking, transcribing, and distributing minutes. Assists the Assistant Vice President of Alumni Engagement and the Director of College Alumni Engagement with the development, monitoring and reconciliation of account budgets. Coordinates local and national travel arrangements for the Alumni Engagement Team which involves adherence to the travel policies and procedures of UCF Advancement. Collects BB&T credit card receipts and backup documentation and prepares monthly BB&T credit card statements for the entire Alumni Engagement Team. Assists with record-keeping on the alumni shared drives in compliance with UCF Foundation policies. Maintains constituent records and enter data into the constituent database. Manages and traffics all internal work order requests in Basecamp project management software. Coordinates LAPER report collection and facilitates the approval process for both the Assistant Vice President of Alumni Engagement and the Director of College Alumni Engagement. Performs website, social media and vanity email updates for the Alumni Engagement Team, as needed and maintains the knights@ucfalumni.com email inbox by fielding engagement related questions, composing replies and/or forwarding messages to appropriate UCF Advancement staff. Coordinates collection of vendor invoices and backup documentation and prepares Payment Authorization Forms for the entire Alumni Engagement Team. Manages the supply inventory and reservation system for the Alumni Engagement Team by monitoring inventory levels, purchasing and restocking supplies, coordinating the shipping and receiving of supplies with facilities staff and distribution of supplies as applicable. Coordinates talent recruitment efforts, candidate correspondence, stakeholder scheduling, interview logistics and facilitates an onboarding plan for new team members including the first day schedule, individual onboarding meetings with department, divisional and campus unit stakeholders; scheduling of system trainings, etc. Assists office personnel with other related duties as assigned by the supervisor, which may include but is not limited to research, gathering and entering data, typing, filing, bulk mail-outs, photocopying, assisting in data clean-up efforts, and other constituent record information. Assists with event logistical support to the Alumni Engagement Team through tasks such as name tag creation, table tent creation, reformatting or researching registrant data from hard-copy event registration lists for database imports and other documentation essential to event execution.
