This position supports the administration team of a growing Development Office. The applicant should have an interest in human resources and a strong customer service focus and excellent interpersonal skills. Must be able to effectively communicate and be a self-starter. Able to handle multiple projects simultaneously, managing and negotiating deadlines as needed. Regular responsibilities include:


  • Provide support in the recruitment process: schedule candidate interviews, handle candidate correspondence, and oversee the candidate and employee referral tracking

  • Organize and maintain confidential HR files i.e. supporting the annual appraisal program, including distribution and tracking all materials, coordinating with BWH central HR

  • Maintain department organizational and seating charts

  • Serve as the office timekeeper and liaison with Kronos timekeeper team

o Oversee Kronos Self-Service training for new Associates/Coordinators; schedule meetings/appointments and update calendars

o Produce and distribute Kronos Overtime reports to distribute for manager review according to office policy

o Produce and distribute weekly Benefit Time Courtesy Report to employees and their managers found to be at certain benefit time thresholds

  • Provide administrative support for the annual development office retreat

Professional Development

  • Provide support for professional development and office management initiatives (training course schedules, materials production, attendee surveys)

  • Oversee the professional development membership, training and conference application flow

  • Maintain professional development database (capturing attendance cost information) producing actionable reports that includes working with PeopleSoft and HealthStream exported data

  • Oversee the attendee surveys upon program completions to capture outcomes and analyze data

On-boarding Support

  • Prepare workspace for all new employees, prepare orientation binders, order building passes, order nameplates, update office directories and mailboxes, send out electronic expense system enrollment emails, take and upload new employees' photos, add new staff email addresses to copiers and floor directories

Information Services/Finance Support

  • Maintain IS Device Tracking Log

  • As appropriate manage software licenses E.g. GoToMyPC and Office 365

  • Tracking monthly facilities related expenses


  • Act as backup for the following as needed;

o Candidate interviews and activities

o Gift Processing

o Receiving and process incoming mail

o Front Desk Ambassador on occasion

  • Other duties as assigned


  • BA/BS Degree required, with 1 years office experience

  • Excellent oral and written communications skills with strong proofreading ability

  • Good computer literacy and word processing skills using Microsoft Products with level of comfort preparing presentation materials using PowerPoint

VIEW JOBS 2/13/2020 12:00:00 AM 2020-05-13T00:00 GENERAL SUMMARY: In concert with the Assistant Vice President of Corporate and Foundation Relations, the C&F Officer oversees and organizes fundraising efforts to advance the mission of Brigham and Women's Hospital. A collegial articulate individual, the Officer must be committed to accuracy and organization with a keen facility for attention to detail. Ability to interact with donors, staff and physicians in a positive manner on the phone and in person is essential. The position requires the ability to handle many and varied responsibilities simultaneously. These duties can range from project management to proposal writing and prospect research for the Corporate and Foundation Relations team. In this deadline-driven position, the Officer possesses strong communication and organizational skills, as well as the ability to plan, conduct, and evaluate programs and projects. PRINCIPAL DUTIES AND RESPONSIBILITIES: The C&F Officer will participate in management and implementation for all aspects of the Education Grant program. Activities will include: * Oversight of a portfolio of 25-50 prospects making gifts in the $1,000- $50,000 range in support of educational programs at the hospital. * Develop meaningful relationships with the Office for Interactions with Industry and program administrators in hospital departments to successfully manage the Educational Grant Program. * Coordinate proposals, agreements and payment of Educational Grants. * Interface with Gift Processing and Stewardship in the Development Office to accurately process and acknowledge these gifts. * Specific measurement targets will be developed and agreed to with the Assistant Vice President of Corporate and Foundation Relations during the first 90 days. Additionally, the C&F Officer will: * Partner with AVP on the interface with Research Management to capture all public and private foundation gifts in Development Office gift totals. * Handle gift booking responsibilities for the C&F team. * Maintain Raiser's Edge records to keep team pipeline accurate and up to date. * Other Duties as assigned, including calendar management and tracking of activities for team members in Raiser's Edge. QUALIFICATIONS: * Appreciation for and commitment to the mission of Brigham and Women's Hospital and the ability to effectively articulate those missions and visions. * Ability to develop and maintain effective working relationships with key clinicians, scientists, other professional staff and lay leadership. * Interest in and capacity for rigorous, science-based content. * Ability to work as part of a team, as well as independently.
