Job Overview:

The Crew Scheduling Specialist is responsible for the mobilization of offshore crew to and from their assigned vessels in line with industry, client and flag state requirements. In conjunction with the other Crewing Coordinators, he/she serves as a point of contact for employees and management on all matters as it relates to scheduling and logistics of crewing the vessels assigned to his or her portfolio.

This person needs to be Familiarity with marine vessels and the offshore oil and gas sector

Familiarity with STCW, IMCA, IMO, Flag State and other offshore marine and construction crew training requirements. They will be interacting with Captains, Offshore Construction Managers and other vessel crew, Project Managers, HSES, Training, Travel, MAO, SCM, Accounts Payable.

Key Responsibilities/Accountabilities:

  • The Crew Scheduling Specialist is responsible for the mobilization of offshore crew to and from their assigned vessels in line with industry, client and flag state requirements. In conjunction with the other Crewing Coordinators, he/she serves as a point of contact for employees and management on all matters as it relates to scheduling and logistics of crewing the vessels assigned to his or her portfolio.

  • Coordinating and scheduling crew to and from vessels throughout the world

  • Ensuring the most appropriate crew are selected for the vessel type and assignment

  • Work with company designated travel agents to arrange cost effective travel for crew joining and departing assigned vessels to meet crew change schedules and other urgent crewing situations

  • Act as a single point of contact for crew assigned to vessel within scope of responsibility. Respond to requests and inquiries in a timely manner

  • Communicate with McDermott corporate logistics personnel to arrange transfers of crew to and from vessels via crew boats and choppers

  • Communicate with vessel and shore side managers on a regular basis to ascertain details of vessel movements and crewing requirements

  • Provide input to Crewing Manager and adhere to all established operational budgets relating to crewing and travel; complete accruals and reconcile costs associated to crewing agent fees as requested

  • Lead the coordination of visa procurement required for international work and travel

  • Work with HSES Training department to ensure crew license and certificates are valid in accordance with STCW, IMCA, client requirements and in line with internal training matrix.

  • Complete responsibility for scheduling all crew, project and client personnel etc. in MAPS, ensure joining and departing dates are correct

  • Ensure travel documents such as passports, seamen's books and visas are valid and in MAPS

  • Stay current with marine regulations for the safe and efficient manning of vessels at all times

  • Superior organizational and coordination skills with the ability to multi-task and respond to changing priorities

Basic Qualifications:

  • Bachelors degree preferred

  • 3-5 years within the offshore crewing industry
