Purpose and Scope

The Benefits Associate supports the Benefits department by performing high level administrative tasks. This position has primary coverage for front desk, answering multi-line phones, mail distribution, filing, processing payroll, TCRS forms, STD/LTD claims, LOA claims and accident on job documents.

Essential Job Functions

1.Ensures proper benefits enrollment and transfer of benefits data to related vendors and the state, while ensuring employee privacy protections. Ensures efficient and accurate medical benefits database management including data entry and coordination between different data systems as needed.

Manages and carry out activities related to: Medical benefits administration for Unified Shelby employees Leaves administration for the district Pension administration 2. Certify and mail TCRS refund applications; processes TCRS forms, including death, military and application for additional service.3.

Supports district employees with all benefits related transactions, and support Employee Connect clerks as they work to respond to routine inquiries related to medical benefits, leave and pension-related policies, programs and administration. Supports district employees, including troubleshooting in response to their inquiries and participates in Employee Benefits staff trainings. Maintain excellent response time and timely follow-up as required. 4.

Ensures high-quality service and efficiency of assigned transactions and make suggestions for process improvements to the Benefits leadership team. 5. Files records of claims and fills out cancellation forms when employees leave company service; creates benefits employee files for each specialty area as needed.6. Performs retiree address updates, completes benefits verification forms for Social Security and Medicare A/B and assists with bulk mailings to employees regarding notices, updates and other pertinent information. 7.

Develops, schedules, implements, monitors and evaluates all programs, projects and operations in area of responsibility. 8. Responsible for the data integrity, efficiency, and quality for all benefits transactions and customer service provided to employees, including life event changes, open enrollment, pension data, leaves processing, 403b maintenance, attendance management and COBRA administration. 9. Performs other related duties as assigned or directed.

Minimum Qualifications

Graduation from an accredited college or university with a Bachelor's degree in Public Administration, Business Administration, Human Resources, Education or related field, or equivalent, for a total education/experience of 4 years.

(PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED)

Degree Equivalency Formula:

Bachelor's Degree= 4 years plus required years of experience.

Master's Degree= 2 years plus required years of experience. Where Master's degrees are required, years for Bachelor's Degrees must be included.

Knowledge, Skills, and Abilities

  • Skill in developing data-supported solutions and using fact-based logic; ability to translate difficult analysis in easy-to-understand manner and present to a broad audience. Good written and verbal communication skills.

    Ability to manage daily administrative tasks without losing sight of long-term goals and planning. Detail-oriented, able to skillfully manage all operations activities including database management, customer service initiatives, correspondence, and departmental/district policies and procedures. Communicates effectively with customers, employees and other staff.

    Exercises good judgment in manner, tone and way of speaking a customer service setting. Extremely customer service-oriented with high level commitment to customer satisfaction. Demonstrates critical thinking skills, including the ability to recognize problems and root causes, and knowing when to escalate issues for timely resolution in the best interest of students. Ability to develop and maintain effective working relationships Ability to coordinate multiple priorities Ability to operate a computer and use appropriate software applications and peripheral office equipment

Physical Requirements and Working Environment

Physical Demands: Requires sedentary work involving standing or walking for brief periods, exerting up to 10 pounds of force on a regular basis; and some dexterity in operating office equipment; must be able to use hands and fingers

Unavoidable Hazards: The position is exposed to no unusual environmental hazards.

Sensory (ADA) Requirements:
The position requires normal visual acuity and field of vision, hearing and speaking abilities.

Benefits Administrator The Benefits Team of Gannett's People Resources Division designs, implements and manages programs critical to the health and wellbeing of the Company's most critical resource, our employees.
