COMPANY SUMMARY:

Machine Solutions, Inc. (MSI) is a pioneer and leading supplier of medical product process and testing equipment. MSI has been instrumental in automating or semi-automating several manual processes within stent and catheter manufacturing organizations. We offer an excellent opportunity for highly motivated individuals in a fast-paced, biotech organization.

GENERAL PURPOSE OF JOB:

The Accounts Receivable II primary purpose is to provide accounting support to both the Controller and CFO. The position will also be responsible for some general ledger accounting, accounts receivable duties and account reconciliation. This position's main course of work will include compiling and maintaining the accounts receivable records of the company, ensuring all work adheres to GAAP.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Accounts Receivable II Duties including but not limited to: invoicing, cash receipts, customer inquiries.

  • Maintains all accounts receivable reports and customer files and update when necessary.

  • Communicate with customers, sales, and operations to request payment when necessary.

  • Apply customer payments and records cash, checks, and process credit card transactions.

  • Manages delinquent accounts based on priority and in a timely manner and reports findings to Controller.

  • Maintains customer accounts of open invoices, unapplied payments, deductions, and credits.

  • Report to team on status of deposit invoices and payments.

  • Closely Monitor and Follow Up on the AR Aging Report, maintain notes and updates on the Shared File

  • Maintain the file for tax exempt customers.

  • Maintain Sales Tax Records and ensure rates stay updated in the system.

  • Respond timely to all internal and external requests and questions.

  • Assists CFO and Controller as necessary.

  • Assists in monthly closing, including ensuring all invoices are posted timely at month end.

  • Ensure the team's accurate processing of data by updating job aids and document changes of processes.

  • Assist with Year End Audit as Necessary

  • Prepares analysis of accounts, as required.

  • Facilitates all communication within the AR department.

  • Assists the team in developing proactive processes for effective and efficient resolution.

  • Performs filing and coping.

  • Performs other duties as assigned.

QUALIFICATIONS:

Education and Experience:

  • 2+ years of Accounting Experience.

  • Pursuit of accounting degree may substitute for experience (current enrollment necessary)

  • Must have a strong work ethic and be self-motivated to learn.

  • Must be well organized, detail oriented, professional, and reliable.

  • Proficient in Excel and Word.

  • Demonstration for strong problem-solving skills.

  • Experience with ERP system is a plus.

Language Skills:

Level 5: Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, public groups, and/or boards of directors.

Math Skills:

Level 3: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

PHYSICAL DEMANDS:

Minimal time is spent standing, climbing, balancing, stooping, kneeling and crawling. Some time is spent walking, using hands to type, handle or feel, reaching with hands and arms, talking and hearing. Lots of time is spent sitting. There will also be some time spent filing. Close vision is required

WORK ENVIRONMENT:

May work near moving mechanical parts, in high precarious places, and near fumes or airborne particles. Moderate noise (examples: business office with computers and printers, light traffic) can be expected.
