Responsible for the implementation and follow up on various routine administrative activities necessary to maintain files and provide support to real estate officers for the management and or administration functions related to real estate assets held in various types of fiduciary accounts. Handle routine administrative, maintenance and repair activities for portfolio assigned to asset manager(s). This position is also responsible for assembling the required material for the completion of routine annual review documentation to satisfy audit and OCC Reg-9 requirements under the supervision of assigned real estate asset managers. Assist asset manager(s) with the administration of real estate assets in accordance with bank policy and within the parameters of the account document; including, the coordination of activities as required with other units within the bank, outside professionals, clients and third party vendors or other intermediaries.
Review transactions to ensure accuracy and to correct any problems that may arise.
Prepare and process accounts receivable and accounts payable for client accounts per the agreement for the review and approval by the asset manager.
Monitor cash requirements in account to ensure no overdrafts occur.
Properly document the account file to ensure accurate actions have been taken.
Ensure all files are in order for each asset for audit for the annual audit review.
Responsible for assisting one or more real estate asset manager in the sale and/or leasing of assigned assets.
Responsible for independently handling incoming and outgoing calls and correspondence with clients and tenants.
Coordinate maintenance and repair activities (such as calling a plumber or roofing contractor to make minor repairs on a client residence or small commercial property) per the governing documents.
Responds to internal and outside requests or inquires requiring detailed knowledge of the bank's functions, policies and business practices and trust real estate practices.
Contacts, meets with and corresponds with beneficiaries, principals and other interested parties involved in the assigned assets pursuant to established guidelines.

Strong attention to detail; the ability to perform efficiently and accurately under pressure to meet critical deadlines and to be able to prioritize activities with minimal supervision.
Effective oral and written communication skills Proficiency with PCs utilizing Excel and MS Word and the ability to quickly gain proficiency with the bank's internal systems.
Must understand and function in a team environment.
