Who You AreAs the Assistant to the VP and reporting directly to the Vice President/Provost of Academic Affairs (VPAA), you will provide executive support in a one-on-one working relationship. In this role, you will be as the primary point of contact for internal and external constituencies on all matters pertaining to the Vice President. You will organize and coordinate divisional outreach and relations efforts and manage special projects. As the Assistant to the VP, you will perform administrative coordination and leadership for the division of Academic Affairs and perform duties related to many areas of the department. During periods of the VP's absence, you will act as the representative of the VP to internal and external persons, and other agencies. Ideally, you have strong written and verbal communication skills, good judgement in a variety of situations, organizational skills and the ability to manage multiple priorities. This is an excellent opportunity for someone with previous administrative support experience. This position has the opportunity to occasionally work remotely, but does require a strong on-campus presence and ability to travel to all three FRCC campuses as needed.Please note: You need to be a Colorado resident on your first day of employment. Primary Duties
Office Liaison: Function as the primary point of contact for the Vice President's office and responds to questions and inquiries from faculty, staff, students, community members and external constituents, exercising initiative, judgement, and independent thinking to provide direction and guidance to facilitate prompt resolutions. Partner with senior college leaders and other administrative professionals to provide support services and prepare material for key meetings and events.Provide leadership for administrative support professionals in Academic Affairs.Engage in college-wide diversity, equity and inclusivity efforts to create a welcoming and inclusive climate for all employees and students. Create positive, supportive relationships with stakeholders, including the internal college community and external community members. Meeting and Event Coordination: Create, organize, and manage all internal and external campus events, trainings and organizational development initiatives, including notifications and invitations. Make catering and set-up arrangements. Prepare and distribute agendas and other materials for meetings/events; records and transcribe meetings/events minutes; maintain records of meetings and key decisions.Complete and process relevant paperwork pertaining to meetings/events according to college and state regulations.Special Projects: Provide special project support as assigned. Analyze information, determine best method to achieve project goals and take initiative to complete projects. Work closely with the VP to identify stakeholders to ensure projects are completed with the input of necessary groups. Schedule/Travel Coordination: Make appointments for VP and prioritize the VP's activities and events; maintain calendars on the intranet and in Outlook; schedule meetings and identify potential conflicts.Coordinate travel arrangements for the VP; act as the division's travel coordinator and review conference/travel requests as submitted for leadership approval.Budget Management: Function as cost center administrator for the VP's budget accounts; analyze the purchasing needs; purchase supplies; create purchase orders, purchase requisitions, expense vouchers, travel requisitions, and official function forms.Create budget reports, reconcile accounts, and participate in budget development

Qualifications
Required Education/Training & Work Experience:Associate's degree and two years of experience in an administrative support role. Demonstrated experience in handling sensitive information with the ability to manage shifting priorities. Demonstrated proactive approaches to problem-solving with a customer service focused approach. Proficient in Microsoft Office Suite to include Word, Excel, Outlook, and PowerPoint; proficient in Adobe Acrobat Pro.Proficient in WebEx and Teams.Excellent oral and written communication with experience writing and editing documents and reports.
