POSITION TITLE: Assistant to the Offices of the President and General Counsel

COMPENSATION RANGE: 50,000.00 - 65,000.00 USD per year

Position Summary:

The assistant will support the Office of the President and the Office of General Counsel at the University of Northern Colorado by managing a full range of administrative responsibilities related to each office. This position provides high-level, general administrative support with responsibilities to include greeting guests, managing and responding to inquiries, coordinating meetings and events, maintaining files and records, and monitoring and ordering supplies. This individual also provides backup administrative support for team members and works on special projects and events as assigned.

This position requires professionalism, discretion, strong organization and project management skills, and the ability to communicate and collaborate effectively. The assistant is often responsible for managing complex, detailed, and confidential matters. This role offices on the 4th floor of Carter Hall and reports to the chief of staff.

Job Duties:

Office of the President Administrative Support (50%)

  • Conduct research and assemble and analyze information to draft correspondence, reports, and presentations. Perform word processing, photocopying, drafting, and proofreading of correspondence, reports, and other materials.

  • Support the chief of staff and executive assistant in creating, managing, and tracking multiple projects on their behalf with regular status updates and reporting.

  • Provide backup support/coverage to the president's executive assistant.

  • Assist with updating, reviewing, and maintaining university-level policy documents and manuals.

  • Create and organize confidential and sensitive files.

  • Receive, sort, and distribute office mail and record and route messages and requests to appropriate individuals.

  • Assist with travel and guests arrangements.

  • Assist with paying invoices, processing PCards, submitting reimbursements, and collecting documentation.

  • Using Word Press, assist with the development of web content and maintenance of relevant websites.

Office of General Counsel Administrative Support (25%)

  • Receive and direct visitors.

  • Provide administrative support to the General Counsel and Associate General Counsel, including travel accommodations and arrangements, preparing expense reports, and scheduling and preparing for meetings.

  • Oversee and manage the budget for the Office of General Counsel, including monthly processing of expenses and periodic review and planning.

  • Serve as the primary contact for Colorado Open Records requests (CORA), including monitoring the custodian process, research, response, invoicing, and collections.

  • Maintain office supplies and equipment, including assisting with coordinating repairs and submitting work orders.

  • Support other Office of General Counsel initiatives as assigned.

Meetings and Events (20%)

  • Manage the Carter Hall Board Room, ensuring it is clean, organized, and set up for meetings.

  • Assist with the planning and execution of university-level annual and one-time meetings and events, including assisting with venue scheduling, tech support, food and beverage service, preparing guest lists and name tags, and other logistics.

  • Assist in supporting Board of Trustees meetings and other events and meetings as assigned.

Other Responsibilities (5%)

  • Support other executive-level initiatives as assigned.

Minimum Qualifications:

Education:

  • Bachelor's degree

Experience:

  • Four years of experience in an administrative support role.

Ability:

  • Ability to perform difficult, complex, timely, and detailed clerical and administrative work with accuracy.

  • Strong time management skills to handle multiple tasks according to stated timelines in busy, highly visible offices.

  • Exceptional verbal and written communication skills and the ability to interact effectively with internal and external stakeholders.

  • Strong interpersonal skills and a demonstrated ability to build relationships and interact in a professional manner with tact and diplomacy with a diverse group of internal and external stakeholders.

  • Ability to be flexible to changing conditions, needs, and responsibilities.

  • Ability to handle sensitive information in a confidential manner.

  • Ability to work proficiently with office computer systems and technologies, such as Word, Outlook, Excel, Teams, Zoom, and related technologies.

  • Ability to work well under pressure and in high-stress situations.

Special Considerations:

  • Ability to work evenings and weekends

  • Ability to carry event/meeting supplies

  • Available to travel as needed

Full-time employees are eligible to receive tuition waiver benefits, as well as dependents and spouses of UNC Employees who are employed at 0.5 FTE or above are eligible for undergraduate dependent tuition grants of up to 50%. This position is contingent on funding from the Colorado State Legislature, approval by the Board of Trustees, and subject to the policies and regulations of the University of Northern Colorado.
