Provides general office support to the Office of the University Registrar by performing the following duties. Temporary position, hours will vary based on assignment. Posting is to establish an eligibility list for temporary positions)

Essential Duties and Responsibilities

Other duties may be assigned.
1.Assist with student, staff and faculty walk-in traffic for the office.
2.Assist with maintenance of report logs for incoming and outgoing forms and student requests.
3.Maintain tracking system for file processing for new student files and documents.
4.Complete and provide assistance with semester student mailings and notifications.
5.Assist in preparing Athlete and Veteran files for certification by the certifying officials.
6.Assist with the typing and preparation of degree evaluations.
7.Provide assistance in the preparation of enrollment verifications.
8.Assist with arranging meetings, prepare agendas, reserve and prepare facilities.
9.Receive and distribute incoming mail, and prepare outgoing mail and correspondence.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Education and/or Experience

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Oversees and coordinates the day-to-day activities of University Advancement, and serves as the principal point of administrative contact and liaison with internal constituencies. May provide specialist services in the areas of general business administration by performing the following duties. Essential Duties and Responsibilities Other duties may be assigned. 1.Serves as administrative contact and liaison with other offices, individuals, and institutions: coordinates and attends committee meetings as needed. 2.Oversees and administers the day-to-day activities of University Advancement: develops policies, procedures, and systems which ensure productive and efficient office operations. 3.Prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature. 4.Manages Vice President's calendar and independently schedules appointments. 5.Answers and screens Vice President's telephone calls and correspondence, and responds independently when possible. 6.Acts as custodian of corporate documents and records. 7.Maintains division budget and processes weekly requisitions. 8.Creates and maintains database and spreadsheet files. 9.Arranges programs, or conferences by arranging for facilites and caterer, issuing information or invitations, coordination speakers. 10.Assists the Vice President on specific projects. 11.Assists the Vice President with the maintenance of all contracts/agreements with outside vendors. 12.Organizes and maintains file system, and files correspondence and other records as appropriate. 13.Arranges and coordinates travel schedules and reservations. 14.Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings if needed. 15.Prepares outgoing mail and correspondence, including e-mail and faxes. 16.Orders and maintains supplies, and arranges for equipment maintenance. 17.Maintains the offsite storage area in coordination with University Advancement staff. 18.Maintains Vice President's filing system and notebooks specific to programs and projects. 19.Responsible for the development and updating of a weekly work plan for the Vice President.
