The University of Alaska Fairbanks Institute of Agriculture, Natural Resources and Extension (IANRE) serves Alaskans across the state by supporting research in agriculture and natural resources and extending the outcomes of that research to Alaska's diverse communities. This position will provide essential support to IANRE's Director and core leadership through faculty services coordination, facilities administration and collaboration with UAF administration. IANRE has offices across the state of Alaska, and this position is integral in supporting IANRE core leadership in meeting the needs of the faculty and staff in their work to improve the lives of Alaskans.

Day-to-day activities include:

  • Provide administrative support to core IANRE leadership including, but not limited to, word processing, correspondence, document routing, reimbursement requests, journal entries and accounts receivable.

  • Schedule Institute meetings (all institute, program leads, etc.) for faculty and staff around the state using Zoom or other video conferencing software.

  • Distribute meeting agendas and minutes, and ensure recordings are posted on internal website for access.

  • Act as lead receptionist in the State Office Building.

  • Maintain and manage the IANRE Director and Associate Director's calendars using Google calendar.

  • Act as a liaison between the director and the associate director to ensure IANRE is represented in campus functions and administrative meetings.

  • Make travel arrangements for core IANRE leadership and assist with expense reports.

  • Plan and assist with special events as needed.

  • Manage State Office supply budget. Monitor and order office supplies for State Office Building. Ensure shared office resources such as copiers, shredders and other office supplies are in working order.

This position acts as the lead administrative assistant for core leadership at UAF's Institute of Agriculture, Natural Resources and Extension. The successful candidate will act as the assistant to the director of the institute and as the lead faculty services coordinator.

The Institute currently supports over 80 faculty and staff who work in offices across the state. This position requires full-time, in-person work at the state office in Fairbanks.

Successful candidates will have the ability to work in a fast-paced environment and adjust to changing priorities and activities. Must possess excellent organizational and communication skills.

Attention to detail, time management and the ability to prioritize tasks are essential qualities for this position. Must be willing to interact with professionalism and tact while communicating priorities to IANRE core leadership team. A strong background in academic environments, knowledge of university policies and procedures, as well as proficiency in office software and technology are beneficial.

Minimum Qualifications:

Bachelor's degree in related field and two years relevant experience, or an equivalent combination of training and experience. Master's degree preferred. A valid driver's license and clean driving record in compliance with UA Safe Driving Criteria.

Position Details:

This position is located on the Troth Yeddha' campus in Fairbanks, Alaska. This is a full-time, exempt staff position complete with both a competitive salary and full employee benefits package.

New hires will be placed on the UA Staff Salary Schedule, Grade 79, based on education and experience.
