The University of Virginia School of Law seeks a full-time Assistant to the Dean. The incumbent will manage the Dean's travel and meeting schedule, workflow, and correspondence; prepare expense reimbursement requests; and research subjects of interest to the Dean. The Assistant will work as part of a team with another administrative assistant in the Dean's Office to support the Dean, the Senior Associate Dean for Administration, and the Dean's Chief of Staff. The Assistant will also serve as the point of contact for the Dean's Office to greet visitors, handle internal and external requests, and answer the telephone.

A High School Diploma with at least four years of relevant administrative support experience is required. A Bachelor's Degree and/or High School Diploma with some college course work is preferred. Candidates must possess a strong working knowledge of administrative procedures. Demonstrated proficiency in Microsoft Office applications is also required.

Candidates for this position must be able to:

  • Manage constantly evolving calendars with strong attention to detail,

  • Communicate effectively both orally and in writing, with proper grammar and usage,

  • Interact with a range of individuals professionally and with an awareness of appropriate protocols,

  • Handle multiple and competing priorities simultaneously,

  • Track projects and ensure that requests for information and reports are met on time,

  • Maintain confidentiality and exercise excellent judgment, and

  • Exhibit an ability to be flexible, composed under pressure, and consistently professional.

This is a new, strategic position within the Dean's Office reporting directly to the Dean. The Chief of Staff will support the Dean in a wide range of duties with the goal of reducing the burden on the Dean of day-to-day tasks and creating adequate time for the Dean to focus on comprehensive planning and major priorities. The Chief of Staff will create an environment for the Dean in which the time, leadership, and influence of the Dean and her senior leadership team are used to the greatest possible effect. The Law School serves a diverse and varied group of internal and external constituents—including students, faculty, staff, alumni, colleagues at the University, and members of the legal profession—and the Chief of Staff will need to work effectively across these different communities. Job Duties: * Manage internal and external requests to the Dean and use discretion to help determine and prioritize which matters need the Dean's direct attention. Respond to or oversee transfer of matters to others as appropriate. Use appropriate project management tools to track all matters in order to ensure follow through and resolution. * Oversee management of the Dean's calendar and work with administrative staff in the Dean's Office to ensure that the Dean's meetings are effective with appropriate preparation, realistic objectives, and clear action items. This may involve querying and working with stakeholders, guiding others in their preparation for their interactions with the Dean, preparing agendas or briefing materials for the Dean, and monitoring progress and achievement of action items. * Write and prepare speeches, correspondence, presentations, talking points, proposals, award nominations, and reports for the Dean. Develop an understanding of the Dean's communication style and reflect that style in the different materials prepared. * As requested, and involving key stakeholders as appropriate, research issues for the Dean and prepare summary reports and recommendations. Many of these projects will involve issues and trends in legal education, legal practice, and higher education in the United States and abroad. * Work closely with the Dean and other Law School leaders on projects and issues of significant importance to the school and that help advance institutional priorities. Collaborate with Law School faculty and staff to ensure timely planning and execution of priorities. * Handle special projects, oversight of administrative staff, and other duties as assigned. Qualifications: * Bachelor's degree required. J.D. or other graduate degree strongly preferred. * At least five years of relevant experience or a graduate degree plus two years of relevant experience required. Experience in higher education a plus. * Exceptional written and verbal communication skills. * Strong analytical, project management, and organizational skills. * Strong interpersonal and conflict resolution skills; ability to work with diverse constituencies. * Demonstrated ability to prioritize and handle multiple projects of varying complexity simultaneously with attention to detail and a high level of excellence and professionalism. * Flexibility and tolerance for ambiguity. Willingness to handle both complex and mundane matters. Ability to combine strategic thinking with operational follow-through. * Demonstrated ability to work individually and collaboratively. * Tact, discretion, and experience handling highly confidential and sensitive information. * Ability to work effectively and efficiently under pressure with professionalism. * Full proficiency with standard office software (e.g., Word, Excel, and PowerPoint).
