Job Description:

Overall Description

  • Responsible for overseeing the daily operations (mail, print, concierge etc.) and ensuring exceptional client service at one of our on-site support services centers

  • A high level of client satisfaction must be maintained by responding quickly and effectively to the client's needs

  • Continually seek to improve the operations of support service; analyzing the current systems and implementing sound practices according to EPIQ's Standards of Operational Excellence

  • Responsible for the supervision of all Service Specialists employed at the site, including recruiting, training and development of their professional skills

  • Report all collected metrics monthly to the Site Manager and review performance trends with the client in an effort to provide timely and efficient service

  • Uphold the Standards of Service and best practices developed by EPIQ

Job Summary

  • Responsible for the day-to-day operations of Office Services.

  • Ensure the delivery of mail/parcels in a timely matter in accordance to EPIQ's standards

  • Accurately produce production (print/copy/scan) projects in accordance to verbal and written instructions

  • Ensure production projects have been properly produced and Quality Checked (QC'd) to EPIQ's standard

  • Be flexible to daily changing roles, responsibilities, and work locations

  • Answering telephone inquiries and delivering any/all EPIQ service responsibilities

  • Monitor and listen to clients to understand inquiries and requests in order to provide accurate information

  • Exhibit ability to take verbal instructions while taking notes to properly produce staff copy projects.

  • Show measured completion of EPIQ Learning classes

  • Comply with EPIQ policy that any information seen during the production process is strictly confidential and is never to leave Office Services and never to be talked about to anyone

  • May be required to work additional hours beyond regular schedule to meet client needs and/or commitments, which may include weekends, evenings and/or holidays


  • High School Diploma or equivalent, Associate Degree preferred

  • Experience in a law firm environment preferred.

  • Minimum of 2 years' experience in a copy/mail service center environment or other service industry

  • Previous management experience in a client service-oriented field

  • Working knowledge of Microsoft products pertaining to the specific position including but not limited to Outlook, Word, and Excel etc

  • Knowledge of copy machines and utilization of typical office services equipment and technology

Responsibilities Specific job duties will include but not be limited to the following: Production & Workflow - Monitor and ensure compliance with established workflow processes and procedures - Manage job scheduling to ensure on- time completion of jobs and other critical production and fulfillment deadlines. - Oversee efficient and economical utilization of equipment, materials and labor. - Pro-actively pursue the development of standard practices and update site procedures accordingly. - Communicate work volumes and production workflow in daily staff "huddle" meetings. Client Relations - Act as primary on-site Canon Solutions America contact for customer - Maintain targeted levels of customer satisfaction - Develop excellent customer relationships via formal and informal meetings - Solicit customer feedback and ideas for service improvement Supervision & Employee Relations - Monitor and ensure staff compliance with established processes and procedures. - Train, motivate, develop and manage site personnel for performance improvement. - Set developmental goals and conduct periodic performance reviews with direct reports; monitor performance reviews of indirect reports. - Oversee employee training and staff development. Ensure participation in designated classes. - Keep staff updated with all site and CBS information. Equipment Knowledge& Care - Establish a working familiarity with equipment capabilities; maintain all equipment to manufacturers specifications. - Keep abreast of technical knowledge and skills of hardware and software through consultation, class instruction, manuals, self-training and exchange of information. Administration & Reporting - Maintain targeted levels of profitability - Manage and control inventory and assets - Manage the processing of payroll information for site employees - Manage on-site payables and purchase orders - Manage and maintain site business records Other - Grow existing business and develop new business opportunities within customer location with the support of the sales executive. - Manage vendors utilized by site and correspond with client as required. QualificationsQualifications should include a bachelor's degree and/or 3 to 5 years experience managing customer locations, experience with previous P and L responsibility, customer service, and the ability to multi-task, excellent communication skills, prior management/supervisory experience, strong interpersonal skills, ability to move paper and lift packages, and experience in Facilities Management support services.
