Position Summary

Reporting to the Associate Registrar, the Assistant Registrar serves as the primary coordinator for all processes related to the transfer of courses and credits, room coordination, and final exam scheduling, and assists with the graduation clearance of all students.

Essential Duties and Responsibilities

  • Coordinates with the Admissions Office and Academic Advising to provide support services to all incoming transfer students to ensure a seamless transition to Stonehill.

  • Collaborates with academic department chairs, program directors, and deans to evaluate and process all incoming transcripts and test scores and enter all approved transfer credit equivalencies into Banner and the Transfer Equivalency System (TES).

  • Maintains database of all transfer students and creates transfer credit evaluations for each student, communicating with them consistently by email about their credit status.

  • Processes degree audit substitutions based on transfer credit approvals.

  • Provides excellent customer service relating to questions from prospective and current students about potential transfer credit and the relation to degree requirements; provides preliminary transfer evaluations as requested.

  • Maintains an understanding of all articulation agreements relating to transfer credit. Coordinates all SACHEM consortium registrations and processes study abroad credits.

  • Works with the Associate Registrar, Facilities department, and Manager of Information Systems to schedule the booking of rooms for classes and instruction-related activities in the student information system (Banner) and event scheduling system (25Live).

  • Creates and maintains each semester's final exam schedule, communicating with faculty about room changes and individual final exam needs.

  • In conjunction with the Associate Registrar, meets with all senior undergraduate graduation candidates, evaluating eligibility with degree audit software (Degree Works), advising them of their status and necessary next steps, helps with submittal of graduation application, and follows their progress toward completion with consistent communication.

  • Recommends potential course substitutions for graduation purposes to department and program chairs and processes all approved substitutions on the degree audit.

  • Coordinates and prepares diplomas for the Commencement ceremony in May and replacement diplomas throughout the year.

  • Provides general administrative support to all constituencies including prospective and enrolled students, faculty, staff, and administrators in person, by phone, and through email.

  • Supports the daily operations of the Registrar's Office to boost the achievement of strategic goals and objectives for the department.

  • Expected to play a role in fostering a positive work environment with the expectation of continuous improvement and first-class customer service.

  • Collaborative and team-oriented skills with a commitment to student success are essential attributes of this position.

  • During busy periods, may be required to work outside of the regularly scheduled hours.

  • Other duties as assigned.

Education and/or Experience

A Bachelor's degree (B.S. or B.A.) is required. Preferred experience working in a higher education setting or one working with high school and/or college-aged students.

Preferred Qualifications Knowledge, Skills, and Abilities

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. To perform this job successfully, an individual should be comfortable with computer software, including email, Word documents, and spreadsheets.
