Classification: Non-exempt, part-time (20-30 hours per week).

Position Summary: The Assistant Registrar provides administrative support to the Registrar. The Assistant Registrar serves students by maintaining student records and processing enrollment verifications and transcript requests. Manages the administration of assessment instruments and results, contributes to accreditation reports and visits, and manages various academic services.
Responsibilities as Assistant Registrar:
Creates and maintains student records, including uploading various student forms and creating an electronic file for new students.
Process Transcript Requests, Deferment Requests, and Enrollment Verifications
Assist in transfer credit evaluations
Assist with the production of various publications such as Course Schedules, Classroom Schedules, Classroom Signage, Commencement Programs, and the Academic Catalog
Answer general help-desk questions from students and faculty related to Blackbaud
Manage student records in Blackbaud
Assist in compiling data for a variety of internal and external reports
Assist with the planning, execution, and follow-up of Commencement
Research academic policies and practices at other seminaries on an occasional basis
Perform general clerical duties and other duties as assigned
Administer advanced standing competency exams
Assist in conducting graduation audits
Collect and post the book lists for each semester.
Administer assessment instruments and collect and organize results, including organizing and administering the juried review process.
Assist with evaluating and documenting assessment results, including the Comprehensive Assessment Plan.
Oversee the collection and submission of annual accreditation reporting
Contribute to the organization and production of major accreditation reports and visits
Assist with renewal applications to various agencies, including but not limited to the State of Arizona and AZ SARA.
Assist with the administration of student internships and ADA accommodations, and the publication of the Student Handbook.
Assist in the organization and management of Degree Program Reviews.
Collect and store syllabi for each semester.
Manage hours and maintain general supervision over the Teaching Assistants
Prepare resident faculty overage contracts, adjunct contracts, and maintain files for adjunct records
Process contract reductions for online courses as well as miscellaneous academic payments.
Provide orientation and assistance to new adjunct professors
Arrange travel and hotel accommodations for visiting faculty
Collect, analyze, and distribute student course evaluations each semester.
Assist with aspects of online learning, as needed.
Assist with the budget process for various academic departments.
Other related duties as assigned
Qualifications:
The position requires professional maturity to interpret policy, secure academic records, and the ability to manage with minimal supervision.
High personal integrity - Evidence of a commitment to Jesus Christ and a life consistent with biblical standards. Agreement with the governing values of the Seminary and theologically compatible with the Seminary's statement of faith.
Ability to handle confidential and sensitive matters.
Supports the vision and purpose of Phoenix Seminary with a high degree of institutional loyalty.
A bachelor's degree with a minimum of three years experience in administration
Proficient in the use of the Microsoft Office Suite (Word, PowerPoint, and Excel). We will be expected to learn other programs used by the Student Services staff (e.g., Blackbaud and Adobe).
Strong organizational skills and detail-oriented personality with strong problem-solving skills
Strong verbal and written communication skills
Training and development: Self-initiated study and personal development are both expected and encouraged.
Evaluation: The Assistant Registrar will be evaluated at the end of an Introductory Period (90-day review) and then on an annual basis.
