Under the direction of the Registrar, the Assistant Registrar will oversee transfer student articulation, advising and registration. They will also play a leading role overseeing graduation degree audits, as well as developing and implementing new protocols to support long-term academic planning and tracking. The Assistant Registrar plays a vital role in maintaining timeliness and accuracy of student records, in addition to reporting data to campus constituents as directed by the Registrar. This position is a vital member of a dynamic and innovative team. The qualified candidate supports the mission of the Registrar's office, develops and implements student-centered enrollment services, provides office leadership and assumes assigned duties and responsibilities during the Registrar's absence.
Essential Duties include the following. Other duties may be assigned.
Transfer Articulation, Advising, and Registration
Partner with Admission Office to facilitate transfer student admission.
Provide support to the Student Life and Student Success offices for advising, registration, and orientation of deposited transfer students.
Oversees articulation of all transfer credits for current and new transfer students, and maintains transfer equivalencies in PowerCampus and the University of Maryland's Articulation System (ARTSYS); including the "Recommended Transfer Programs" (RTP).
Serve as liaison with community college and university offices and Hood academic department chairs to ensure accurate evaluation of transfer credits.
Assist in the recruitment and retention of transfer students by providing timely and accurate transfer evaluations.
Calculate composite GPAs with received transfer credit.
Graduation/Degree Audits
Maintains accurate program requirements and works with Registrar's Office and Information Technology staff to maintain the degree audit system for undergraduate students.
Assist with the creation and implementation of the Academic Plan degree audit tool, while also maintaining the existing Degree Progress Report until it is fully phased out (approximately two years).
Oversee the record maintenance and manual audits of all undergraduate students, with special attention to juniors and seniors.
Coordinates graduation activities through the evaluation of degree audits, graduation clearance, and commencement honors, communicating often with faculty advisors and students.
Serves on Commencement Committee, providing regular updates and data for commencement related activities.
Academic Record Maintenance
Assists in processing undergraduate student course registrations requests for degree and non-degree seeking students.
Provides support for advisor and program changes.
Manages undergraduate enrollment records and programs in ArmyIgnited system for students receiving military benefits.
Updates degree requirements for undergraduate programs in PowerCampus as changes occur.
Reporting
Produces ad hoc reports as requested
Assists with registration and other office-wide activities; work with other members of the office staff to meet office and college deadlines.
Oversee major GPA and minor reporting to department chairs.
Other
Supports other tasks associated with undergraduate record management and enrollment, where necessary.
Provides support to the Registrar regarding undergraduate petitions to the Academic Standards and Policies committee.
Maintains and updates registrar office and graduate student web pages and forms.
Manages archived student files in accordance with AACRAO guidelines and FERPA regulations.
Standard office hours are 8:30am-5:00pm, Monday through Friday.

Education and/or Experience
Bachelor's degree (B. A.) from four-year college or university; and two years related experience and/or training; or equivalent combination of education and experience. Meticulous attention to detail, ability to handle multiple assignments and maintain confidentiality. Experience in a college Registrar's office preferred.
Preferred Skills and Characteristics
Technology Skills
Proficiency in using student information databases, and experience in MS Office tools (Microsoft Word, Excel, and PowerPoint), e-mail and Internet. Ability to learn new applications quickly including organization-wide information systems and department-specific software applications.
Language Skills
Strong oral and written communication skills. Ability to write routine reports, correspondences, e-mails and other communications. Ability to effectively provide information and respond to questions from both external and internal customers both in person and by phone. Ability to speak effectively before groups of students, faculty, staff and other constituencies at all times.
Mathematical Skills
Ability to work with and apply basic mathematical concepts timely and accurately, either manually by using a calculator or a spreadsheet application. Ability to use mathematical concepts in developing reports.
Reasoning Ability
Ability to solve practical problems and deal with a number of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work independently and as a member of a group in developing and executing project plans. Ability to work in theoretical arena and apply logic as appropriate.
