JOB SUMMARY:

The Assistant Registrar, reporting to the University Registrar, collaborates frequently with members of the Registrar's Office to support related operations and functions. This position requires an individual with flexibility and an aptitude for working collaboratively with faculty, students, staff, and alumni. The Assistant Registrar must be detail-oriented and self-motivated, possess a high level of proficiency as it relates to student service, and be adept in using a student information system.

The Assistant Registrar will work closely with other members of the Registrar team to ensure the integrity, accuracy, and security of academic data, and works to develop and implement efficient and effective processes.

ESSENTIAL JOB FUNCTIONS:

  • Provide exceptional student support by applying customer service skills, knowledge, advocacy, and professional judgment to address both simple and complex matters to ensure students have a positive experience.

  • Provide support, assistance, and guidance to the University Registrar and other members of the Registrar's Office team on a regular basis.

  • Function as the primary point of contact for communications sent to the Registrar's Office email account and voicemail, also managing/responding to in-person requests as needed.

  • Provide primary support and send applicable communications related to Registrar operations (i.e. attendance/participation, grading, registration reminders.)

  • Support the maintenance of electronic student files on an as-needed basis.

  • Assist with processing student form submissions (i.e. change of major, declaration of credential, etc.)

  • Collaborate with other members of the Registrar's Office and the IT team to ensure that electronic forms are accurate and up-to-date.

  • Manage the diploma ordering process and assist alumni with the ordering of replacement diplomas.

  • Communicate with faculty and collect midterm and final grades each subterm, following up on incomplete grades as needed.

  • Manage classroom assignments for on-campus/hybrid courses and final exams, assisting with day and time assignments as necessary.

  • Create and maintain student records with a high degree of accuracy, efficiency, and security.

  • Assist students, faculty, and staff at all locations/modalities with student registration, transcript requests, enrollment verifications, grade entry, course waivers/substitutions, and other Registrar's Office tasks as needed.

  • Occasional travel to other campuses may be required on an as-needed basis.

  • Provide support related to Commencement, including assistance with processing graduation applications, and in-person aid at the ceremony.

  • Attend trainings as required.

  • Perform any other duties or tasks as assigned by the University.

Requirements:

  • Bachelor's degree and a minimum of three years in a Registrar's Office preferred.

  • Must have experience handling confidential information.

  • Excellent customer service skills; ability to work effectively in a team environment and participate to get the job done, while continually focusing on the needs of the students;

  • Ability to assess and report, diligently and accurately, student concerns and office matters/details for attention;

  • Excellent organizational and time management skills; ability to manage multiple tasks, duties, responsibilities and sometimes competing priorities in a fast-paced setting efficiently and effectively;

  • Excellent data entry skills with demonstrated attention to detail;

  • Proficiency with Microsoft Office, particularly with Excel spreadsheets, and mail merges.

  • Intermediate knowledge/skills in a student information system.

  • Ability to adhere to University policies and procedures.

  • Valid U.S. driver's license.

  • Must successfully pass the online safe driving course within 15 days of hire and annually thereafter.

  • Ability to handle confidential information with discretion and within FERPA and HIPAA guidelines.

  • All new employees must complete the FERPA, Anti-Harassment, and any other required online trainings within 15 days of employment.
