Duties and Responsibilities

(Note:

  • Denotes Essential Functions)

  • *Provide admission and enrollment services to internal and external constituencies, including: serving as an initial point of contact and responding to inquiries from students; maintaining student records, data analysis and reporting, and document review and processing.

  • *Assist with the development and implementation of Admissions and Records processes and procedures.

  • *Assist with data extractions, reporting, and statistical analysis to support admissions and enrollment activities.

  • *Review and process admissions and records office documents including: enrollment verification requests, transcript evaluation, prior learning assessments, transcript generation, add/drop forms and graduation applications.

  • *Ensure that the management and disposition of student records are in compliance with all applicable rules, regulations, policies, and procedures.

  • *Serve as a Designated School Official with SEVIS to assist in the management of international student affairs to include I-20 issuance/reporting, INS advising and OPT tracking.

  • *Assist in reviewing and editing the Honolulu CC catalog and registration guide.

  • *Assist with all aspects of the Veterans Administration and military benefits program, including ensuring compliance with all program requirements and timely submission of all required reports.

  • *Collaborate with students, campus staff, and the VA to resolve problems relating to overpayment, underpayment, and nonpayment of benefits.

  • *Supervises clerical staff and student employees.

  • *Assist with training, planning, coordination, implementation, and evaluation of events that promote application and enrollment.

  • *Assist with recruitment, coordination and onboarding activities for new, transfer, and returning students. To include orientation, commencement, an relevant workshops.

  • *Assist the Registrar with administrative functions within the office, including assisting with the development and administration of the office's operational budget.

  • *Assist in training and educating internal and external stakeholders about Admissions & Records processes and policies to ensure understanding of and compliance with relevant requirements.

  • Assist with the maintenance of Admission and Records web pages.

  • Keeps abreast of current developments in higher education relevant to assigned functions.

  • Other duties as assigned.

Minimum Qualifications:

  • Possession of a baccalaureate degree in education, business, counseling, social sciences or related field and 2 year(s) of progressively responsible professional experience with responsibilities for student services and/or records in higher education; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

  • Functional knowledge of principles, practices and techniques in the area of student services and/or records as demonstrated by knowledge, understanding and ability to apply concepts and terminology.

  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations, and systems associated with student services and/or records.

  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range of problems that may commonly occur in the area of student services and/or records.

  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.

  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.

  • Demonstrated ability to operate a personal computer and word processing software.

  • Ability to perform work requiring strong analytical and problem-solving skills with strong attention to detail and follow-up.

  • Ability to provide excellent customer service.

  • Working knowledge of academic policies and procedures, and federal privacy regulations, such as FERPA.

  • Ability to be flexible and adaptive in a fast-paced, challenging and ever-changing environment.

  • Ability to report to off-campus sites to participate in meetings, presentations, and visitations, etc.

Desirable Qualifications:

  • Master's degree in counseling, education, business, counseling, psychology or related field.

  • Knowledge of document management, including imaging, storage, retrieval, and complex workflow systems.

  • Experience in the collection, analysis, organization, and distribution of information for data-driven decisions.

  • Familiarity and knowledge of the United States military and/or Veterans Affairs benefits available to individuals.

  • Experience working with community college students with diverse backgrounds.

  • Experience working in higher education.
