Job Summary: We are seeking a highly organized and detail-oriented individual to join our team as an Assistant property Manager and Receptionist. The successful candidate will be responsible for providing administrative support to the property management team and ensuring the smooth running of the front desk.

Key Responsibilities: Schedule and conduct showings of units. Organize and run resident engagement events, give aways, etc.

Help residents set up online portals, submit maintenance requests, and answer questions. Greet and assist visitors, tenants, and clients as they enter the office, ensuring a warm and professional welcome. Answer incoming phone calls, route them to the appropriate staff members, take messages, and respond to general inquiries.

Return phone calls to current and future residents in a polite and professional manner. Address tenant issues and requests promptly, directing them to the correct department or personnel as needed. Perform a variety of administrative duties, including data entry, filing, managing office supplies, and maintaining records.

Entering work order requests into Yardi and assist with entering invoices into Yardi. Coordinate and manage appointments and meetings for property managers and other staff. Manage incoming and outgoing mail and packages, ensuring timely distribution and processing.

Ensure the reception area is tidy, organized, and presentable always. Monitor and control access to the building, ensuring all security protocols are followed. Assist with special projects and tasks as assigned by management.

Prepare for and attend daily meetings with staff. Other duties at the request of the Property Manager, Assistant Property Manager, and Maintenance Supervisor. Requirements High school diploma or equivalent; associate or bachelor’s degree preferred Minimum of 1 year of experience in a receptionist or administrative role Excellent communication and interpersonal skills Proficient in Microsoft Office Suite Ability to multitask and prioritize tasks effectively Strong organizational skills with attention to detail.
