Do you want to play a role in global commerce?

As the Assistant Property Manager, you will assist the Property Management team in Chicago to maintain properties in accordance with Company policies, procedures and standards. You will develop skills in the areas of lease administration, revenue/expense management and administration, physical facilities management and customer relations.

Here's how to do that:

  • Commit to The Prologis Way a guide to effective customer service. Develop and maintain positive relationships with all customers and vendors. Responsive to tenant's needs and requests in a timely manner.

  • Assist with the Global Services Program, including identification of Global Customers and appropriate communications with the corresponding Global Services Officer.

  • Assist with the annual Prologis Customer Satisfaction Survey for assigned properties.

  • Assist with the coordination of customer relation functions and holiday activities/gift distribution.

  • Assist with preparation of monthly/quarterly financial reports to include operating and capital budgets.

  • Conduct collection calls and prepare collection letters to ensure customers are current in receivables;

  • Assist with the collections process and default proceedings;

  • Ensure customers are current in lease responsibilities;

  • Work with property manager, maintenance technician, and vendors to coordinate the completion of work when maintenance requests are received;

  • Assist with the administration of estimated/actual recoveries.

  • Assist with operating expense reconciliations with the accounting department; must be knowledgeable of lease provisions.

  • Assist with the real estate tax review process for properties; communicate tax issues to management.

  • Assist with the coordination of insurance requirements for properties and associated vendor/supplies.

  • Process AP/AR invoicing process for properties.

  • Ensure vacancies/marketable spaces are up to Prologis standards.

  • Adhere to Company property management policies and procedures, codes, regulations and governmental agency directives. Maintain compliance by ensuring all property records are maintained in accordance with all legal requirements and Company policies and/or practices.

  • Assist with environmental programs for assigned properties.

  • Assist with the lease administration process by ensuring timely updates of any lease changes for assigned properties.

  • Assist with customer move-ins and move-outs process for assigned properties in a timely and coordinated manner including the preparation of commencement letters, orientating new tenants to property management office staff, services and procedures, meeting and coordinating with vendors, arranging for building access, and ensuring compliance with insurance requirements.

  • Assist with the default proceedings and eviction process.

  • Assist with field properties to include routine site inspections to assure that the physical aspects of the properties meet established standards regarding the grounds, curb appeal, risk management/safety requirements (OSHA), cleanliness, and general appearance, and assist with the implementation of corrective measures when appropriate.

  • Assist in the coordination of vendor relationships, including regular contact to promptly identify and resolve issues, managing service levels to meet contract specifications, and participating in and documenting walk-throughs.

  • Partner with other departments to resolve property management issues.

  • 1-3 years of industrial/commercial real estate experience required.

  • Related experience and/or training; or equivalent combination of education and experience; Bachelor's Degree preferred

  • Proficient working knowledge of Microsoft Office suite (e.g., Word, Excel, PowerPoint, Outlook)

  • Property Management Software a plus; Yardi preferred.

  • Ability to provide superior internal and external customer service and ability to maintain confidentiality.

  • Must be able to multi-task; prioritize and work with minimal supervision, have strong attention to detail and excellent time management skills to ensure all established deadlines are met.

  • Must possess strong verbal and written communication skills.

  • Good mathematical and analytical skills; Accounting knowledge preferable.

  • Requires a valid driver's license and the ability to travel to multiple properties.

  • As business dictates, able to work extended/flexible hours (e.g., nights/weekends/on-call).

Assists the Property Manager with the general administration of the property and performs related management functions with the daily operations of an apartment community. Assists with responsibility of maintaining the physical asset and the performance of the property, to achieve the highest possible net operating income. Monitors regulatory compliance and company policies and procedures related to property management.    Responsibilities * Supports and ensures timely input, proper use and full utilization of on-site PC-based property management software systems including assistance in training of new associates and ongoing training of existing property staff. * Assists in the management of efficient operation of the property consistent with Loss Prevention and Corporate Office policies and procedures, even during understaffed periods. Responds to emergency situations, contacting appropriate agencies or Regional Managers as necessary. * May prepare purchase orders, code and process vendor invoices for payment, send documentation to Corporate Office and follow up on vendor payment inquiries. * Maintains a working knowledge of all maintenance programs to ensure the proper and efficient operation of systems, preventive maintenance programs, housekeeping functions, and responses to resident maintenance requests. Prepares service orders when residents call and distributes to appropriate associates for completion. Follows up on forwarded maintenance requests and makes sure that all residents are notified if there must be a delay. Ensures completion of resident service requests. * Maintains working knowledge of leasing policies and procedures and performs functions related to leasing and lease renewal. Ensures effective and appropriate implementation in accordance with Corporate Office and Fair Housing policies and procedures. Meets with prospective residents, identifies their housing needs, interviews them to determine eligibility based on established criteria, shows vacant and model suites and property amenities based on established techniques specified by the company. Collects funds related to applications, security deposits and rentals. * Conducts move-in and move-out inspections of apartments to determine applicable charges for damages. Conducts inspections to determine market readiness and implements high quality standards of cleanliness and aesthetic appearance. May perform interim unit inspections. * Collects rent from residents, verifies amount paid, accounts for discrepancies, deposit rent checks, sends verifying information to Corporate Office and follows up on any delinquent rents, initiating eviction procedures as necessary.
