Key Responsibilities:

  • Develop and implement project plans that support cybersecurity objectives, timelines, budgets, milestones, deliverables, and success criteria

  • Drive day-to-day execution of the overall integration process to ensure activity plans remain relevant and being executed effectively

  • Ensure operational communications for intra and cross-team stakeholders across levels including detailed engineering and operational level communications and management project status, issues, and risk reporting

  • Create collaborative partnership among leaders and stakeholders

  • Enable resource demand planning, change management, and project pipeline planning decisions

  • Prepare project status reports and conduct meetings regularly on progress, risks, issues

  • Recommend solutions

  • Operate at scale by leveraging established standards, consistent engagement process, decision matrix, and transition to business-as-usual operations

What's needed to succeed (Minimum Qualifications):

  • Bachelor's degree

  • 3 years of experience in Cybersecurity program or project management

  • Ability to work well under pressure and time constraints

  • Ability to perform in a dynamic environment and manage multiple projects and priorities

  • Strong analytical and problem-solving skills, detail oriented & organized approach

  • Skilled in communicating with all levels of management (e.g., interpersonal skills, approachability, effective listening skills, appropriate use of style and language for the audience)

  • Willingness to learn from others and self-teach to continuously grow

  • Must be legally authorized to work in the United States for any employer without sponsorship

  • Successful completion of interview required to meet job qualification

  • Reliable, punctual attendance is an essential function of the position

ITS provides innovative technology solutions that improve the quality of education for students, reduce the administrative burden on educators, facilitate parent interaction, increase community engagement, and support CPS' mission of transparency by focusing on the ease and equity of access to information.</p><p>Job Summary:</p><p>Reporting to the Chief Information Technology Officer, the Executive Assistant (EA) will be responsible for the day-to-day operation of the Office of Information and Technology Services, including accurate maintenance of calendars, communications, and partnerships.. Additionally, the EA will also serve as a liaison with other CPS offices, department heads, and outside agencies as well as support the Chief Information Technology Officer by performing a variety of administrative duties.</p><p>The Executive Assistant will be held accountable for the following responsibilities:</p><ul><li><p>Serve as the initial point of contact for office inquiries and triage issues to resolve them immediately and/or direct them to the appropriate staff in a timely manner</p></li><li><p>Handle multiple requests for Chief Information Technology Officer's time, applying strong decision-making skills in handling priority of requests, elevating requests as necessary for resolution</p></li><li><p>Manage the schedule of meetings and activities with internal and external stakeholders.</p></li><li><p>Review and distribute incoming correspondence received by the department</p></li><li><p>Develop and maintain departmental filing systems for records, correspondence, and other materials</p></li><li><p>Order office supplies and materials for the department.</p></li><li><p>Prepare payroll, reimbursements, and procurement processes through the applicable internal systems.</p></li><li><p>Act as a team point person: handle team requests, problem-solve, and assist with keeping the team on track and organized</p></li><li><p>Perform administrative projects and other tasks as needed to facilitate office operations</p></li></ul><p>In order to be successful and achieve the above responsibilities, the Executive Assistant must possess the following qualifications:</p><p>Education Required:</p><ul><li><p>High school diploma or GED equivalent required</p></li><li><p>Bachelor's degree from an accredited college or university preferred</p></li></ul><p>Experience Required:</p><ul><li><p>Minimum of three (3) years of experience supporting senior leadership in an administrative role</p></li><li><p>Exceptional verbal, written, and interpersonal communication skills</p></li></ul><p>Knowledge, Skills, and Abilities:</p><ul><li><p>Excellent verbal and written communication skills; capable of communicating and collaborating with a wide variety of internal and external stakeholders</p></li><li><p>Skilled in using a range of technology and digital tools, including a high degree of proficiency in Google Workspace</p></li><li><p>Exceptional planning and time management skills with the ability to handle a wide variety of complex situations, competing priorities, and time conflicts involving the business/administrative functions of the office</p></li><li><p>Excellent attention to detail, organizational skills, and ability to effectively multi-task in a fast-paced environment</p></li><li><p>Knowledge of operations, budget/finance, management and organizational development</p></li><li><p>Ability to define problems, analyze data, and outline valid conclusions and action steps</p></li><li><p>Ability to handle sensitive and confidential situations and information with discretion</p></li></ul><p>Conditions of Employment</p><p>As a condition of employment with the Chicago Public Schools (CPS), employees are required to:</p><ul><li><p>Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district.
