Assistant Production Manager

Status: Full-time; Exempt; evenings and weekends required

Longy School of Music of Bard College seeks an enthusiastic and motivated Assistant Production Manager who will support the Production Manager to oversee all production and technical components of 200+ concerts and events, including major concert series, such as Gessner-Schocken concert series, Celebrity Series Debut Series, and Side-by-Side, as well as departmental events, partner organization productions, and Longy's annual fundraising gala.

Longy operates two primary concert spaces, Edward M. Pickman Hall, and the as-yet unnamed "Alternative Performance Space" in the library. Named in honor of Edward M. Pickman, President of the Board of Trustees from 1955-1959, the 270-seat birch-lined hall provides a setting for masterclasses, solo and chamber performances, and theatrical productions. The Alternative Performance Space seats up to 25 guests and is ideal for non-traditional and experimental, intimate performances.

The Assistant Production Manager supports the Production Manager in running the day-to-day operations of the concert hall, including front of house, stage management and production, PA/audio and lighting systems, and theatrical operations. The Assistant Production Manager works closely with students, faculty, and administrators to coordinate the technical elements of a wide array of activities between multiple departments of the school. Strong organizational and customer service skills are required.

Responsibilities

  • Oversee daily operations of concerts and run all day-of logistics during their assigned shifts as supervisor, maintaining a safe and productive work environment.

  • Act as day of, on-site supervisor for Graduate Fellows and Concert Office On-Campus Employees (OCEs) including production assistants, recording assistants, stage managers, stagehands, house manager, ushers, and box office staff. Ensure that all tasks are completed efficiently and effectively. Make day-of task assignments as needed. Monitor student worker performance and attendance, providing training insight and feedback to the Production Manager

  • Assist Production Manager in executing performance and events as designed in collaboration with Department Chairs, Faculty, and production personnel to produce institutional performances, including operas, project-based course performances, schoolwide events, offsite events (such as performances at the Regattabar), and all other performances of strategic importance to the school.

  • Work with Program Manager for Artistic Operations to execute necessary logistical preparation prior to each assigned event, such as preparing equipment for audio/visual needs, assisting with load in/load out, and implementing non-traditional setups.

  • Create logistical and production information sheets and distribute to student employees and graduate fellows to ensure that each event runs efficiently.

  • Foster an atmosphere of inclusion and belonging so that every member of the Longy community feels welcome.

  • Manage booking of Concert Office equipment.

  • Manage audio and video recording for performances and recording sessions; review and edit video and audio recordings to ensure conformance to production standards.

  • Oversee the creation of livestream links on Longy's Vimeo page.

  • Assist the student employees and graduate fellows in the editing, archiving, and distribution of recordings to faculty, students, partners, and renters.

  • Assist in maintaining the online Events Calendar hosted on Longy.edu. Ensure all information is accurate and always up to date and make changes as necessary.

  • Utilize online box office for event check-in, hosted by Woo Commerce on Word Press.

  • Maintain Hall equipment; alert Production Manager in a timely manner when supply order requests should be submitted to the Program Manager for Artistic Operations; schedule outside contractors including sound and lighting technicians and help coordinate tuning for Pickman Hall pianos.

  • With concert office team, oversee the program creation process done by Graduate Fellows. Solicit program content and biographical information, enforce deadlines, and print programs as needed.

  • Other duties as assigned.

Qualifications

  • Bachelor's Degree in a related field or equivalent experience with minimum of 3 years of stage management and production experience

  • Experience running live events and training and managing teams

  • Excellent attention to detail, well organized, self-motivated

  • Ability to work independently with minimal supervision

  • Excellent customer service skills and ability to work with a wide range of both internal and external constituents

  • Nights and weekends required

  • Knowledge of microphones and mic placement for recording and live sound.

  • Experience shooting live footage.

  • Experience running livestreams and monitoring streams.

  • Familiarity with OBS.

  • Familiarity with Yamaha mixing TF1 mixing board.

  • Must have prior experience working with Digital Audio Workspaces and/or live video and audio recording equipment; fluency in the Adobe Creative Suite (Audition, Premiere Pro, Media Encoder) preferred

  • Must be fluent in or be willing to learn and regularly use Microsoft Office (especially Outlook, Teams, Excel) and Google Applications

  • Demonstrated commitment to engaging inclusively and equitably with a diverse community
