Key Responsibilities: To support the Chief Executive Assistant in their role
Organise and schedule travel, meetings, conferences and events as instructed by the Chief Executive Assistant
Meeting + lunch & logistics (book meeting rooms & liaise with Facilities where necessary, book private dining rooms & liaise with Baxter)
Reconfirm external meetings, lunches, dinners - book restaurants and advise
Proactively organise travel logistics (taxis, hotels & etc) and admin (visa requests & etc) & follow-up with attention to details
Manage relationships in confidence on behalf of the Chief Executive Assistant including key stakeholders in other affiliates, staff and external parties
Accounts management using E@syBuy - raising purchase orders, invoice payments & tracking budgets / expenditure - draft Last Estimates
Expenses for the Chairman & CEO on a monthly basis
Correspondence including replies to various requests (sponsorship, donations, invitations, etc) + occasionally proof-reading French
Strategic calendar cross-check
Keep strategic & ExCom calendars up to date
Manage subscriptions
Collect parcels / mail from reception / mailroom
Welcome visitors
Arrange DHL / couriers & etc
Ad-hoc copying, scanning, digital filing, document production, binding etc
There may be some personal organisation
Key skills required:
Strong attention to detail with the ability to work calmly under pressure and to tight deadlines while retaining a sense of perspective - and humour!
Bright, flexible, quick learner with the ability to prioritise workload & juggle several subjects at the same time - can work independently & self-manage, but does not hesitate to seek guidance where necessary
Well-presented with proactive, can-do attitude
Focus - avoids being side-tracked by less important issues,
Confidential & discrete and does not succumb to 'leakage'
Listens actively and asks questions to clarify when anything is unclear
Excellent interpersonal communications skills including strong oral and written skills in English and French (French native)
Comfortable with figures
Actively seeks out additional tasks or assignments to utilise their time to maximum effect
Recognises that even the smallest of tasks should be reputation enhancing
Looks ahead to join the dots
Collaborative team player comfortable in back-office/admin role, reporting to Chief Executive Assistant
Qualifications and experience:
Minimum 10 years experience
Ideally working in global organisation with experience of working across multiple markets
