The Assistant Manager supports the General Manager in overseeing personnel and taking responsibility for the daily operations of the office. The Assistant Manager ensures implementation of company policies and procedures . As a role model, the Assistant Manager is responsible for assisting the leadership and positive goals for the office. This individual is responsible for assisting the General Manager with the financial performance and maintaining required paperwork for daily, weekly and monthly operation of the office. The Assistant Manager solves problems and provides the highest quality of customer service. The Assistant Manger is responsible for "taking charge" during the General Manager's absence.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Support the GM in achieving or exceeds monthly/annual sales projections in effort to maximize revenue and gross margins according to company goals and standards.
Demonstrate working knowledge of all functional roles within the Office, and be able to perform as needed, in that capacity.
Ensures that all eyeglasses and contact lenses are delivered according to promised time.
Monitors patient flow throughout the office, ensuring minimum wait time to our patients.
Processes and submits all company documentation, in the absence of the GM, including management reports, financial reports, third party (insurance) claims for timely processing and submission.
Ensures compliance of daily activities; confirmations, bank deposits, daily sales reporting, etc. Utilizes manager's checklist for accuracy.
Understands and endorses all company offers, coupons and third party programs available as well as effectively implement sales strategies such as Best, Better, Good, BOGO's, Multiple Pairs, Back-Up Glasses, etc.
Controls and reduces inventory shrinkage by monitoring damaged and defective product in CL area, dispensary and lab.
Audits and submits payroll & commission on a biweekly basis, in the absence of the GM.
Identifies areas of inefficiency in office and work with GM to implement changes to address and correct the issue.
Any other duties as assigned by the GM.
Supervises and Evaluates Staff's Performance
Monitor personnel performance, including attendance, punctuality, productivity and product knowledge.
Communicates with the Manager & District Manager regarding any potential problems involving personnel and\or patients.
Participate in on-going training for self and staff and ensures all associates are properly cross-trained in all areas of the office.
Develop and implement strategies to motivate staff.
Participate in or conducts bi-weekly staff meetings in the absence of the General Manager.
Communicates in a strong, accurate, and motivational manner.
Provides communication to associates in regards to performance; provides direction when improvement is required.
Generates a positive atmosphere by role model and teamwork.
Maintains company's goal to "Exceed the Customer/Patient's Expectation" which will be monitored by mystery visits, number of patient complaints, resolution of customer issues, phone answering and greeting.
Responds to and resolves any patient concerns or complaints; reports any complaints that cannot be resolved at the General Manager level to the Regional Manager or Vice President of Business Development.
Promotes company brand to associates, patients, & community.
EXPERIENCE AND QUALIFICATIONS
AA or BA/BS in related field preferred.
Minimum 3-5 years experience in a similar work/office environment.
At least 3 years of supervisory experience with increasing levels of responsibility preferred.
KNOWLEDGE, SKILLS AND ABILITIES
Demonstrated success working and managing in a retail, office environment addressing a broad spectrum of customer requirements and preferences.
Demonstrated ability to effectively manage inventory control, sales controls and staffing controls to maximize the profitability of the office.
Demonstrated ability to drive sales growth and proactively address changing trends.
Demonstrated ability to establish positive patient rapport and build relationships to establish repeat customer-trends.
Strong communication skills (oral and written) with the proven ability to manage priorities in a fast paced, entrepreneurial environment.
Ability to multi-task, set priorities and ensure that patient commitments/deadlines are met.
Proficiency in utilization of automated equipment and systems standard to the optometry industry.
