Description

Job Summary: Responsible for providing high-level administrative support to senior management/executives within the organization.

Essential Job Duties and Responsibilities:

  • Coordinates and manages complex schedules, including scheduling appointments, meetings, and travel arrangements ensuring schedules are organized and optimized.

  • Serves as the primary point of contact between management and internal/external stakeholders. Screens and prioritizes phone calls, emails, and other correspondence.

  • Creates, edits, and maintains documents, reports, presentations, and other materials. Ensures accuracy and organization of documents.

  • Prepares agendas, attends meetings, takes minutes, and follows up on action items. Arranges conference calls, video conferences, and in-person meetings as needed.

  • Plans, organizes, and coordinates travel itineraries, including flights, accommodations, and ground transportation for offsite meetings and events.

  • Oversees the smooth operation of the office environment, including ordering office supplies, maintaining files, and optimizing administrative processes.

  • Handles sensitive and confidential information with the highest level of discretion and integrity.

  • Addresses and resolves complex issues and challenges that arise within the office, demonstrating a proactive and solution-oriented approach.

  • Assists in special projects or initiatives, which may include research, data analysis, and presentation preparation.

  • Performs other duties as assigned.

Qualifications

Education and Experience Requirements:

Bachelor's degree in business and 5 years administrative assistant experience preferably in a senior or executive support position.

Knowledge, Skills, and Abilities:

  • Strong organizational, time management and multitasking skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office products and calendar management tools.

  • Excellent attention to detail and accuracy in all tasks.

  • Ability to work both independently and as part of a team.

  • Ability to maintain confidentiality and use discretion.

  • Ability to adapt and handle changing priorities.

  • Strong interpersonal skills for effective interaction with senior executives, colleagues, and external contacts.

Work Environment:

  • Ability to lift and move objects up to 50lbs.

  • Ability to sit or stand for extended periods during working hours.

  • Work may require periodic visits to the manufacturing facility with seasonal hot and cold temperatures, dust, noise, and some chemical fume exposure.

  • Work may require travel.
