The Human Resources Assistant provides comprehensive support in the areas of return-to-work coordination, drug testing program administration, and benefit program support. Responsibilities include, but are not limited to:

  • Coordinate and conduct pre-employment testing, including: background checks, drug tests.

  • Effectively maintain applicant tracking files using Taleo.

  • Prepare and process employment record changes within Oracle.

  • Maintain records for Code of Conduct training, driver discipline and driver status, and other records.

  • Responsible for driver timekeeping.

  • Provide assistance with special projects and/or other duties as assigned.

The successful candidate will meet the following qualifications:

  • A minimum of a high school diploma or G.E.D. equivalent is required.

  • A college degree is preferred.

  • A minimum of 2 years of administrative support experience is required.

  • A minimum of 2 years of Human Resources experience is preferred.

  • Strong computer skills with specific knowledge of Microsoft Outlook, Excel and Word are required.

  • Experience using Taleo applicant tracking system is preferred.

  • The ability to effectively communicate, both verbally and in writing, at various levels of the organization, in a business-like and professional manner is required.

  • Ability to work effectively and efficiently in a fast paced environment with minimal supervision, adapt to frequent changes in daily work activities, process work rapidly, set priorities, work under pressure and follow through with assigned tasks in a timely manner in order to meet established deadlines is required.

The Senior HR Assistant provides key administrative and operational support to the Human Resources team. The Senior HR Assistant will also provide guidance as needed to the HR Coordinators responsible for pre-employment processing. The Senior HR Assistant performs tasks with minimal supervision and exercises independent judgment on matters of significance. Job Responsibilities Provide primary assistance with organizational and general administrative support: * General correspondence via memos, letters, notes, emails, etc. utilizing standard business format and structure * Responsible for daily / weekly and mass filing of all HR and payroll forms and documents * Create documents in Word utilizing features such as mail merge, track/change and labels * Create spreadsheets in Excel utilizing features such as formulas, pivot tables, graphs and charts * Create Power Point presentations to include links, animation and transitions * Arrange meetings and events to include scheduling, agenda creation, document preparation, catering and audio/visual resources * Coordinate file and supply room and order/track supplies, new hire gifts and recruiting giveaways as necessary or requested * Use PeopleSoft to create and pay all invoicing received by the HR department * Process weekly and monthly wires for benefit related expenses / administrative fees * Assist with department budget tracking and reconciliation * Arrange travel and prepare associated expense reports * Upload and delete policies, HR documents and forms on MyTarga intranet website * Update HR intranet website to include the HR activity calendar (vacations, travel, etc.) * Act as back-up for executive assistants as well as front desk receptionist * Acts as a backup to Payroll for employment verification requests Provide HR department and Reporting Support: * Process miscellaneous employee actions such as new hires, terminations, salary changes, etc. and provide guidance to HR Coordinators responsible for pre-employment processes * Provides new hires with any necessary information for a successful first day at Targa * Conduct first day on-boarding process for corporate employees while covering new hire paperwork, benefits overview and security/parking logistics * Collects and files all new hire policy acknowledgements * Assists to coordinate yearly distribution of Credit Reporting Benefit available to Targa employees * HRIS data audit reconciliation as needed * Maintain Targa’s Job Code Table * Track Employee Referrals at time of submission and time of hire as well as backup documentation showing referral forms and resumes * Maintain and distribute company organizational Chart (to include open position reconciliation) and ensure monthly distribution to HR Leadership and CEO * Maintenance of Targa’s Contractor Tracking Spreadsheet * Monthly audit of Employee Email list, employee name changes, and Service Award Program * Annually assist with the collection and tracking of Employee’s Annual Performance Review Forms HR Administrative Support of Company Programs/Compliance and/or Processes: * Monthly I-9 Audit to determine expiration status for work authorization and provide to HR Director * EEO-1 Data Collection and Report Filing (Annually) * Provides assistance as needed with the collection of (Sarbanes–Oxley Act of 2002) SOX audit related data requests as directed for both internal and external audit processes * Provide exit processing administrative support and ensure daily collection of termination notifications from ITSecurity and CorpSecurity per SOX requirements * Provide daily administrative support in relation to company policies, processes, programs, etc. * Administration of DOT Random Drug Testing Program, DOT Supervisor Training Compliance an Compliance Training Program Administration * Turnover Trend Tracking Report * MVR Testing Program and System Administration * Education Reimbursement Program * Unemployment claims administrative response and/or tracking Minimum Essential Qualifications * Minimum High School Diploma or Equivalent * Minimum 5 years of related work experience * 2 years minimum of experience in Human Resources * Must be able to handle and maintain confidential and sensitive information * Demonstrated knowledge of employment law and government regulations that pertain to employee relations matters * Ability to build a project from ground up with strong project management capabilities * Advanced PC skills to include knowledge of Microsoft Office products including Excel, Word, and Power Point * Strong project coordination/event coordination experience * Extensive experience with expense management and budgeting * Ability to deal logically, effectively and professionally with all levels of management and with all types of employees, applicants and internal/external customers * Experience setting up meetings to include tracking, scheduling and managing calendars * Strong written and oral communication skills * Strong interpersonal skills with the ability to work harmoniously in a team setting * Ability to prioritize daily work schedule and function with minimum supervision * Strong organizational skills with the ability to multi-task and prioritize work * Ability to adapt to changes in work environment, managing competing demands and able to deal with frequent changes, delays, or unexpected events * Regular and reliable attendance * Ability to follow instructions; responds to directions and solicits feedback sector; Some college preferred * PHR or SPHR Certification preferred * Experience in collating/preparing presentation material for Board meetings * Experience in Ceridian HR module, Taleo or other
