The Dean's Office in the School of Engineering & Applied Science (SEAS) seeks an Assistant Graduate Registrar. The Assistant Graduate Registrar is responsible for serving as the Graduate Records contact person, addressing inquiries from faculty and graduate students regarding graduate policies, establishing and maintaining a good working relationship with all graduate students, faculty, and staff, and communicating and troubleshooting daily with Graduate Program Directors, Graduate Coordinators, student advisors, the International Studies Office, the Registrar's Office, Student Financial Services, and other University entities.
This role processes graduate student and course action forms, including Add/Drop forms, adjusting research credits as appropriate, receiving/printing/reviewing student forms for accuracy, satisfying milestone data in student information system, and scanning and uploading forms into ImageNow files. The Assistant Graduate Registrar will process affiliated status requests, track, guide, and process each semester's enrollment to verify total enrollment limits, and work with the international office as appropriate. Additional duties include sending students regulations and categories of enrollment as needed, serving as back-up support for the Graduate Registrar and assisting with graduation and other activities, and answering questions in the Registrar's absence relying on the Graduate Record and guidance from the Director of Graduate Education.
They will run reports in UBI and Institutional Assessment as requested, review the Graduate Office email account daily and respond accordingly, pick up messenger mail for Graduate Office from SEAS mailroom daily and distribute as needed in an efficient manner. The Assistant Graduate Registrar will coordinate the Graduate Teaching Assistant process, including the maintenance of the GTA database and coordination exemption authorization with the Director of Graduate Education, and assist the Graduate Student Financial Aid Resource Administrator with graduate students' I-9 form completion and other duties as requested.
Qualified candidates will possess a high school diploma, or equivalent, and have up to 4 years of relevant experience. Excellent communication and interpersonal skills, as well as the ability to use MS Office and Outlook are required. Preference will be given to candidates who have experience with University systems, such as SIS, ImageNow, and University Business Intelligence.
