What we're looking for

We are looking for a strong operations manager to help lead a team and support a General Manager with their regional goals. The ideal candidate leads by example, communicates effectively, and is passionate about the tiny details, making positive experiences in every interaction with team members, guests, and owners.

What you'll do

  • Oversee operations in Maui managing a specific portfolio of properties

  • Develop and grow a relationship with the owners of the properties by proactively communicating and becoming the subject matter expert of those properties ensuring they are clean, maintained and well cared for

  • Meet and maintain Vacasa standards and metrics such NPS, standard unit appearance, and efficiency

  • Manage a budget for your portfolio adhering to set annual costs, with the ability to perform a cost-benefit analysis

  • Manage a team of efficient and high-quality team of operations leaders ensuring all are trained, up-to-date on all Vacasa procedures, and identifying

  • Partner with your fellow regional management team to identify

  • Support your team with escalated guest and homeowner concerns by responding to emails, calls and tickets

  • Partner and assist your Business Development Representative when new units join the portfolio

Skills you'll need

  • Technical computer skills required on all forms of hardware - laptops, tablets and mobile devices

  • Professional in all forms of communications such as email, phone calls, video calls and texts

  • Ability to work well under pressure in an agile, fast-paced environment

  • Excellent time management skills with the ability to change activity frequently and cope with interruptions

  • Highly responsive and reliable

  • Strong attention to detail

  • Prior housekeeping experience a plus

  • Adhere to all company policies and procedures

Work Environment and Physical Demands

  • Availability to work Sunday through Saturday, early mornings and evenings as needed.

  • Traveling between worksites is frequent and this person will need their own reliable transportation.

  • Occasional need to perform housekeeping and maintenance duties

  • Ability to stand, sit, and walk for an extended period of time

  • Reach overhead and below the waist

  • Regularly push, pull, and lift up to 25 pounds

  • Occasionally lift or move up to 50 pounds

  • Bend, stoop, squat, kneel, and twist

Job Description Position Summary: Individual will supervise the day to day operations of the reservations and guest services areas of the business. He/She will be responsible for guest satisfaction, reservation sales, Navis program and goals, lead assignment, call scoring and coaching. Position Responsibilities: * All administrative, operational and managerial functions of the reservations/guest services department including but not limited to hiring, scheduling, training, coaching, evaluating and disciplining Reservationists/Guest Services Agents. * Optimize phone sales efforts, utilizing all Navis tools, communicate property program updates, rate specials and other appropriate information to staff, monitor and track cll conversion statistics, score reservations calls, and coach agents for improvement as well as acknowledgment of job well done, monitor and adjust reservation room assignments to optimize occupancy. * Responsible for accurate reservations information in the system - correct rates, clean reservations, system to cancel reservations in a timely manner, over site of deposits being collected on time and reminders going out when appropriate, responsible for guest correspondence updates to letters etc. * Responsible for wholesale and internal extranet and website availability updates, create and enhance working relationships with suppliers and market segment partners. * Responsible for Kronos updates and reports according to Corporate schedule. * Responsible for monitoring operating costs and schedules to keep within budget guidelines as required by management. * Responsible for vendor relations including wholesale account familiarization tours, outside vendors providing services for units, guest review responses, data input and responses, trip advisor responses, Navis goals. * Responsible for Travel Link input collection of W-9 ad W-8 relationship building with Travel Agents. * Responsible for coordination of after-hours services and follow-up action as needed for guest services and maintenance of individual units, utilize company computer and VPN tools to access system and immediately respond to after-hour emergency and/or complete work from home if office is closed. Position Requirements: * Must be able to speak, read, write, and understand the English language proficiently. * 3-5 years of hospitality reservations an guest services experience required (previous vacation rental experience a plus). * Must have financial proficiency to including working with budgets, forecasts, and analytical reporting. * Must have excellent written and verbal communication skills. * Minimum two (2) years supervisory or management experience required. * Ability to work with minimal supervision, able to adhere to and enforce company standards, policies, procedures, rules and regulations. * Possess a pleasant personality and enjoy working with people. * Able to complete special projects as assigned. * Able to be part of a team. * Guest Service and Hawaiian culture certification a plus but is not required. * Experience with and FRS software a plus but not required. * Should be able to use Word and Excel proficiently.
