Job Summary

An Assistant Front Office Manager is responsible for assisting in the direction and administration of Front Office operations in the hotel's continuing effort to deliver outstanding guest service and financial profitability.

What will I be doing?

As an Assistant Front Office Manager, you would be responsible for assisting in the direction and administration of Front Office operations in the hotel's continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards:

  • Assist in the management of all Front Office operations to include, but not limited to, guest service and registration (check-in/check-out), room inventory and availability, guest service standards and initiatives, product quality, cost controls and overall profitability, marketing initiatives, systems use and management, budgeting and forecasting, department management, policy and procedure implementation and enforcement and meeting participation and facilitation

  • Assist in monitoring and developing team member performance to include, but not limited to, providing supervision, conducting counseling and evaluations and delivering recognition and reward

  • Recruit, interview and train team members

  • Assist in monitoring and assessing service and satisfaction trends, evaluate and address issues and make improvements accordingly

  • Oversee the VIP guest process including, but not limited to, reviewing VIP reservations and ensuring smooth check-in/check-out

  • Assist with up-selling techniques to promote hotel services and facilities to maximize room occupancy and overall revenue

  • Ensure team members have current knowledge of hotel products, services, facilities, events, pricing and policies and knowledge of the local area and events

Directs the exceptionally friendly, professional, and efficient welcome registration, rooming and account settlement for hotel guests. Ensures prompt and complete satisfaction of guest requests and professional and timely resolution of guest complaints. Maintains accurate occupancy data and assists in maximizing daily rooms revenue through the application of effective yield management sales strategies. Liases with Valet Parking provider to ensure smooth operation consistent with hotel standards. Trains, monitors and supervises the performance of all Guest Services employees. * Coordinates the quality, efficiency, and safe operations of the Front Office department. * Ensures safe and efficient flow of traffic of arriving and departing guests. * Reviews occupancy flow patterns throughout the day as well as Guest Services logs and applicable computer reports to ensure proper department coverage and an outstanding level of service * Supervises Front Office Team Members, ensuring adherence to Loews Star Service Standards. * Manages and develops Front Desk Agents and Supervisors. * Maintains open lines communication with other departments. * Interacts frequently with guests to ensure satisfaction with services * Evaluates individual Team Members performance, and conducts annual reviews. * Attends all required meetings for position * Oversees supervision of Team Members and work assignments to maximize performance and ensure all Team Members perform in a friendly professional manner at all times. * Conducts regularly scheduled meetings and training as required to maintain 4 diamond 4 star services. * Answers guest inquiries and resolves complaints, taking all appropriate action to ensure total guest satisfaction * Ensures that all requests are handled promptly, accurately, and with utmost courtesy * Reviews/maintains daily payroll report/records, maintaining labor costs within forecasted budgetary guidelines * Understands and utilizes the departmental budget and profit and loss statement Job Specifics * Acts as hotel Manager on Duty during.shift * Ensure that the next business day's needs are set-up to ensure business runs efficiently. * Manages sold out night's * Identifies all service deficiencies and contacts the appropriate department manager(s) to rectify the issue. * Engages with the hotel guest and handles all guest requests and understands the future guest needs by identifying trends. * Supports the departments, listens to the Team Members and gives feedback. * In charge of maintaining the intensity levels during the shifts. * Will also act as concierge, reservations agent and front desk reception as needed as well as provide any other additional support as needed/requested * Ensures the satisfaction of all guest requests and the resolution of all complaints received by the Front Office Team. * Assists with the development and management of repeat guest and VIP service programs * Ensures adherence to all hotel cashier and credit policies * Monitors hotel Credit Limit Report on a daily basis, ensuring timely payments on accounts * Assists in establishing and ensuring adherence to all Loews Hotels Star Service Standards * Evaluates changes in guest needs, the hotel's guest mix, and industry and competitive trends to recommend appropriate product/service and operational changes to be made to ensure guest and employee satisfaction, and to maintain market dominance and exceptional financial returns * Interacts frequently with guests to ensure total satisfaction with hotel services * Familiar with and able to troubleshoot problems with following systems: key encoding, call accounting, in-room movies, video checkout, electronic data capture, PMS interface control * Ensures the clean and excellent condition of front drive, lobby and Front Desk area * Attends appropriate meetings and seminars * Maintains inventories of office supplies * Other duties as assigned General * Promotes and applies teamwork skills at all times * Notifies appropriate individual promptly and fully of problems and/or unusual matters of significance * Is polite, friendly, and helpful to guests, management and fellow employees * Executes emergency procedures in accordance with hotel standards * Complies with required safety regulations and procedures * Attends appropriate hotel meetings and training sessions * Maintains cleanliness and excellent condition of equipment and work area * Complies with hotel standards, policies and rules * Recycles whenever possible * Remains current with hotel information and changes * Complies with hotel uniform and grooming standards Qualifications * Bachelor Degree in Hospitality Management or related field or equivalent experience * Minimum five years hotel operations management experience * Extensive knowledge of all hotel departments.
