VIEW JOBS 5/21/2018 12:00:00 AM 2018-08-19T00:00 <strong>Job Description:</strong><br /> Kenjya-Trusant is seeking a candidate to fill the role of Executive Assistant to provide administrative support to the Bureau of Public Affairs, Director of the US Diplomacy Center (PA/USDC).<br />  <br /> <strong>Duties, Tasks and Responsibilities: </strong> <ul> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Maintain and oversee the Director’s calendar to assist in ensuring that priority needs are considered and met; </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Assist in making all travel arrangements for the Director’s travel; </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Review, analyze, and screen incoming correspondence, routing issues of overriding and central importance to the Director and all other correspondence to other appropriate staff members; </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Obtain complete background information from responsible officers in the Department and elsewhere on matters formally submitted to the Director for decision.  Ensure materials are clear, concise, coherent, and complete.  Request any necessary amplification and revisions of material prior to transmittal to the Director or other staff;</li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Maintain liaison -- as needed -- with senior officials both within and outside the Department.  Make independent decisions on selected matters that can be resolved with own expertise.  If necessary, task bureaus and offices in anticipation of the Director’s needs; </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Ensure formal decisions, recommendations and suggestions made by the Director are passed to the proper offices for implementation or review.  Follow-up to ensure prompt action.  Monitor ongoing substantive matters as instructed by the Director such as compiling and distributing reports on proposed program goals, budgets and staff levels to division chiefs for review and comment.  Complies figures and maintains records in support of the Bureau’s financial management and procurement programs; </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Prepare and/or work with USDC staff in the preparation of materials for use by the Director at high levels and sensitive meetings and conferences, gatherings, and public appearances both within the United States and abroad.  Assist with logistical planning for the Director’s participation in these meetings; </li> <li style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;" style="padding: 0; margin: 0;">Prepare confidential background material and reports for the Director’s use in meetings with other USG officials, leaders and high level representatives of foreign governments, White House staff, and Members of Congress.
