  • Professional Organizational Unit Overview

The Primary Purpose of the Pirate Club or ECU Educational Foundation is to serve East Carolina University and its student-athletes as the friend raising and fundraising organization for East Carolina University's Division I Athletics Program, representing the highest principals of honesty and integrity. By conducting annual fund, endowment and capital campaigns in support of student-athlete scholarships, athletic facility enhancements and other programmatic needs the Pirate Club seeks to bring positive recognition to East Carolina University and the region it serves.

Job Duties

Facility Management:

  • Oversee game day hospitality in all Pirate Club premium areas for all

football, men's basketball, and baseball home games.

  • Manage premium seating area access, crowd control, first-aid needs, and

facility services.

  • Evaluate admission procedures and general hospitality functions of all

greeters, team members, security personnel, etc. and manage all access

points related to premium areas.

  • Create, update and maintain an emergency operations procedures

manual for all premium areas on game days.

  • Create pre-season, in-season, and post-season facility maintenance and

cleaning reports and ensure all issues are resolved.

  • Manage hospitality events held in Minges Coliseum, the Murphy Center,

Williams Clark Club, and throughout TowneBank Tower on home football

game days. Including oversight of guest access, food and beverage

services, temporary hospitality game day staff and guest communication

prior to the event.

  • Perform weekly walkthroughs of TowneBank Tower to ensure the facility

is well upkept and fully operational. Meet with facility and housekeeping

staff as needed to resolve issues.

  • Oversee the setup and breakdown of all premium areas on home football

and men's basketball game days, including all indoor and outdoor

hospitality space setups.

Donor Communication:

  • Create, update and maintain the Policy and Services Manuals for all

premium areas.

  • Assist with the creation of all menu portfolios for premium areas.

  • Prepare, package and deliver season tickets, parking passes and other

essential credentials and information for premium seating areas.

  • Assist with creation, distribution and compilation of results from in- and

post-season premium hospitality surveys.

  • Build quality relationships with internal constituents, University staff,

students, business vendors and all donors and other athletics stakeholders.

Temporary/Student Employee Management:

  • Recruit 50+ temporary/student workers for all home football and men's

basketball game days.

  • Assist the HR department in moving all potential temporary and student

employees through the ECU hiring process.

  • Create training materials and train all temporary employees to provide

premium services in all premium areas on home football, men's basketball,

and baseball game days.

  • Manage a home football game day staff of 50+ temporary/student

workers.

  • Manage a home men's basketball game day staff of 5+ temporary/student

workers.

Contracts, Invoice and Budget Management:

  • Assist in the preparation of operational information for any Requests For

Proposals related to premium seating areas.

  • Review all catering company invoices for accuracy and resolve any

discrepancies.

  • Process and submit all vendor or client invoices for payment to business

office.

  • Create, send and track all invoices to donors for services rendered on

game day.

  • Track and work within the premium seating operating budget.

  • Create and update yearly expense reports broken down by sport season.

Vendor Oversight & Communication:

  • Oversight of the catering companies including, menu development, food

presentation, service, pricing, and cost control.

  • Develop and manage a checklist of duties for housekeeping to follow both

pre-game, in-game, and post-game in all premium seating areas.

  • Serve as the main point of contact for facilities, catering, housekeeping,

maintenance, hospitality staff and donors on home football, men's

basketball and baseball game days in premium areas.

Pirate Club Office Assistance:

  • Assist with day-to-day Pirate Club activities.

  • Answer the phone and take gift orders, in a courteous, informative, and

positive way.

  • Assist with the oversight of rental events held within TowneBank Tower.

  • Assist with the planning, staffing and execution of multiple Pirate Club

annual events.

  • Perform other duties as assigned.

Minimum Education/Experience

Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

License or Certification required by statute or regulation
